The Document Specialist is an integral member of our Administrative Services Team, preparing and updating initial drafts of reports, financial statements, proposals, and presentations working with firm templates or creating them when necessary, producing high-quality electronic or hard copy deliverables for our clients. This individual serves as a project manager for the duration of the project, understanding and anticipating client needs. He or she will have a keen understanding of and work within firm branding standards and guidelines. The Document Specialist presents a professional appearance and demeanor at all times and represents the firm’s mission, vision, and values appropriately.

Responsibilities

  • Effectively utilize firm templates, styles, master pages, and tracking
  • Prepare, format, edit, quality check and process proposals using standard firm templates and in accordance with company guidelines
  • Tracks revisions, performing quality checks for accuracy, formatting, spelling, punctuation, and grammatical errors
  • Proforma, format, foot, edit, and process financial statements
  • Assist other offices and share work virtually or in person as needed
  • Develop an understanding and proficiency in using firm applications and software
  • Prepare and edit engagement letters and other correspondence, performing mail merges when necessary
  • Additional duties as assigned
  • Effectively partner and cross train with other Administrative personnel to assist with back-up duties or other office needs, such as tax processing
  • Prepare presentations, proposals, financial statements, reports or other deliverables
  • Work closely with manager and other key stakeholders to receive and implement timely feedback to ensure quality service and client satisfaction
  • Prepare documents or files for print
  • Print and bind or finish documents as requested

Requirements

  • Ability to communicate effectively with all levels of personnel
  • Strong organizational skills and the ability to multitask and prioritize effectively
  • At least 3 years of work experience
  • Exceptional proofreading skills
  • Flexibility and ability to work well independently
  • Attention to quality, with an eye for accuracy and detail
  • Strong team player
  • Associate’s degree or equivalent experience
  • Strong grammar and punctuation skills
  • Strong computer skills, with intermediate proficiency in Adobe, MS Word, PPT, Excel, and Outlook
  • Excellent written and verbal communication skills
