The Opportunity:
The Document Imaging Specialist is responsible for suing supported technologies to enhance Admissions imaging processes. Focusing on document authentication and understanding University admissions and record management procedures. Applies expert knowledge in determining document readiness into permanent record status and validation as part of departmental workflow processes.

Support the Director of Admissions Operations to review department efficiencies for document management and maintaining departmental policies and procedures.

The Document Imaging Specialist communicates with the team and student assistants with the attitude of being a team-player that understands the various roles within the team structure.

The Document Imaging Specialist will utilize exceptional, positive, and effortless customer service with colleagues.
  • Oversee and execute optical character recognition during capture -processing and audit image transfer to business process workflow with data validation so that business operations can easily review transcript data upload to the student information system and workflow task processing.
  • Monitor document imaging projects and collaborate on timing and project deadlines.
  • Utilize critical thinking skills to make independent determinations by using the student Information system and CRM to research student data points for successful document routing.
  • Outline, test and assist in development of imaging system upgrades and changes to document processes.
  • Use independent judgement when analyzing and resolving CRM cases and IT tickets from business operations about student requirements and time sensitive issues using this information to identify opportunities to adjust internal processes.
  • Analyze, prioritize, and determine accurate document metadata to conform to department workflow processes and ensure documents have gone through quality control checks before submission so that image caliber does not delay decision making processes that accommodate student academic needs by business operations such as Admissions, Records, Veterans Affairs, Financial Aid etc.
  • Initiate secure download of electronic documents through password protected websites and create digital images from paper documents to meet deadlines for business operations processing of student admissions, transfer credit evaluations and other student enrollment processes.
  • Notify and consult with business operations staff for solutions to document routing issues, research requests for target documents, and critical prioritization of tasks.

Qualifications
Required Education:
  • High school (or GED) level ability in spelling, grammar, basic composition, and math.
  • Read and comprehend instructions, write information, and complete simple forms.
  • Formal diploma/certificate/degree program of 6-18 months after high school.
Required minimum number of years work related experience.
