A recently launched family investment office is seeking a middle/back‐office professional to work in a fast‐paced entrepreneurial environment. The Director of Investment Operations will be instrumental in building a modern middle/back‐office capability. The professional will work closely with both the accounting team and investment team, who selects and oversees publicly traded securities, equity interests in private companies, and investments with outside managers.
THE POSITION
This role will:
•Have a unique opportunity to work closely with the senior leadership to define and implement best‐in‐class investment operating procedures and reporting to support family and investment decision making.
•Partner with the investment team to execute day‐to‐day investment operation‐ related responsibilities including but not limited to public equities, credit, direct private equity, and third-party funds.
•Contribute by providing financial reporting and analysis for investment decision making and governance.
•Coordinate with other team members and outsourced providers in the delivery of accurate and timely financial reporting. Actively seek opportunities to provide structure and improve operations to support the office, including outsourced providers.
•In addition to the above accounting responsibilities, this role will also assist the CFO and CIO with daily office operational tasks on a needed basis.
POSITION RESPONSIBILITIES & DUTIES
•Manage and provide investment data management that will provide internal clients with the holistic data sets they need to fulfill their various stakeholder requirements.
•Design, implement and document policies and procedures and monitor to ensure compliance. Leverage technology to drive efficiency.
•Liaise with investment team, third party fund administrators, prime brokerage services and systems providers regarding investment tasks, inquiries, monthly data and year end close.
•Work closely with the Accounting and Investment teams on day‐to‐day operations and creation and implementation of best practices.
•On a timely and accurate basis, prepare analysis and reports, including:
•Performance reports for accounting intermediaries
•Trade and investment reconciliations
•Valuation reports for investments
•Portfolio performance attribution analysis for investments
•Ad hoc reporting as requested by various stakeholders
•Manage onboarding of new investments to ensure they are accurately included in all internal systems and relevant terms are tracked.
•Input orders for trades onto the prime brokerage platforms consistent with policies and input from the investment and accounting teams.
•Assist with new technology implementation, especially multi-asset portfolio accounting and reporting tools.
•Review, complete and process new investment subscription documents and account opening documents.
•Responsible for the input of all historic and initial data entry and preparation of all reconciliations,
•Assist the CFO and CIO by overseeing projects to ensure they are completed in a timely fashion and within budget.
CANDIDATE REQUIREMENTS
The ideal candidate will be a discreet, self‐driven, experienced middle/back office or family officeprofessional with strong operational and financial management experience. The ideal candidate will possess the following qualifications/characteristics:
ESSENTIAL SKILLS AND BACKGROUND
•Bachelor’s degree with a minimum of 7 years of relevant experience.
•Experience working with high‐net‐worth individuals, investment managers and/or family offices is a plus.
•Investment concepts knowledge: IRR, time‐weighted return, NAVs, accruals, etc. Capable of performing financial analysis, return calculations, and debt amortization schedules.
•Investment operations knowledge: private equity funds, performance reporting, hedge fund accounting is a plus.
•Experience with private fund capital calls, public market corporate actions and other cash‐flow transactions expected, including fund‐related fixed income and equity traders.
•Ability to prioritize, multi‐task and perform effectively among numerous deadlines and stakeholders.
•Excellent client relation skills and the ability to foster and maintain exceptional client service.
•Outstanding communication (written and verbal); exceptional interpersonal abilities, team players, works well cross‐functionally.
•Advanced understanding of Microsoft Suite (Excel, Word, PowerPoint, Visio), with particular emphasis on Excel Advances Excel skills (Pivot Tables, Charts, V‐lookup, etc.).
•High attention to detail and accuracy while maintaining an organized approach to duties and responsibilities.
•Strong problem solving, critical thinking and analytical skills.
•Exceptional reputation, character, ethics, and strong value alignment with the Family.
•Self-starter, can‐do attitude with willingness to roll‐up one’s sleeves as needed.
