Seeking a Conference Services Manager to join the NY office administration team. This is a hands-on position that provides focus and management of the Client Services Assistants and Catering, conference center management, and event planning.
Responsibilitites:
  • Work closely with office and firm IT team to ensure all technology/AV equipment is always in good working order, issues are addressed timely to minimize any down time, and setups are tested and in place in time for meetings, etc.
  • Purchase snacks and beverages for the cafes as well as alcoholic and non-alcoholic beverages for firm events.
  • Manage the CSA and Catering teams including, but not limited to, supervising, and reviewing performance, establishing a high bar of performance expectations and adjusting periodically as necessary to ensure a professional and distinctive client service experience for guests at all levels, streamline and automate processes as necessary, “lead by example.”
  • Manage conference center, catering and event budgets.
  • Continue to maintain relationship with Restaurant Associates, the vendor, who provides the on-site staff for catering team.
  • Develop relationship with building management office to ensure conference center and event needs are met, e.g., for use of freight elevators, HVAC for events, guest access, security.
  • Develop and maintain relationships with vendors and identify new ones as appropriate to ensure high quality and timely service, (e.g., caterers, rental companies, florists).
  • Other duties and projects as may be assigned.
  • Establish and fine tune scheduling processes for conference rooms, Pillsbury Anywhere program, and visitor offices.
  • Manage events and liaise with internal and external clients to assist with planning, logistics, coordination, and execution of all events including, but not limited to, determining catering menus and identifying appropriate caterers, organizing rentals, developing themes/aesthetics, ensuring proper Certificates of Insurance and building approvals are obtained, determining staffing levels needed, developing accurate BEOs and reviewing/processing invoices for timely payment and coding. Attend and/or be onsite as necessary for event supervision.
  • Work closely with Operations Manager and Sr. Facilities Manager to coordinate event and meeting logistics as necessary and work together to provide back up to each other.
  • Reconcile and process all catering invoices for payment from various vendors and corporate card statement at the end of each month.
Qualifications:
  • Experience with EMS preferred.
  • Bachelor’s Degree required.
  • Flexibility to work overtime as required.
  • Keen attention to detail, strong written and verbal communication skills, and the ability to juggle multiple tasks in an efficient manner.
  • Minimum 3 years’ experience supervising hospitality team.
  • Minimum 5+ years’ experience in a professional services environment.
New York Pay range for this role, with final offer amount dependent on skillset and experience is $120,000.00
