Job Description

The Patient Access Representative presents the first impression to patients, physicians, and other customers.  Their primary responsibility is to schedule appointments, gather/validate preliminary registration information, facilitate and coordinate care between resource units and other departments, and communicate procedure preps or any other related information to the requestor.

 

Essential Functions and Job Duties

 

  • Develops an effective relationship with the caller, identifies resource and staffing considerations.
  • Set the proper tone for the conversation
  • Searches for an appropriate appointment for the patient, rescheduling and relating resource unit information.
  • Verifies patient demographic data including insurance when making distinction between Medicare and other insurance for the Prior Authorization team.
  • Effectiveness, accuracy and completeness in providing and obtaining information
  • Efficient mechanical use of phone system.
  • Performs other duties as assigned.
  • Relate positively to the other person
  • Take messages providing appropriate content and length of conversations
  • Phone Communications
  • Conducts out-going reminder calls for future appointments and notates the results appropriately and accurately.
  • Conducts out-going calls to schedule future appointments based on orders already received from their doctor’s office.
  • Maintains daily QA activities, checking all schedules for accuracy and appropriateness of input and verifying against orders.
  • Develops and use personal skills, asking for help as appropriate and showing initiative in scheduling to benefit patient, physician, and office staff.

 

Education and/or Other Requirements

  • High school diploma or GED.  Medical terminology required.  Six months’ experience with use of mainframe or PC based system utilizing data lookup, data entry, screen use and multiple applications, or three-months coursework in computer usage.  One-year customer service experiences (either via telephone in a medical setting or in-person) within the last five years.
