- Booking Assistant (Remote- Long Island, NY)
We are looking for a customer-focused Booking assistant with excellent attention to detail. The primary role is to coordinate and facilitate the scheduling of appointments, reservations, or services, ensuring efficient and effective use of time and resources for our engineering firm.
Responsibilities include:
1.Booking management: coordinate and manage all bookings, appointments, reservations, or services requested by clients or customers.
2.Scheduling: Maintain and update the booking system, ensuring accurate and up to date availability of resources, personnel, or facilities.
3.Client communication: Serve as the primary point of contact for clients or customers regarding booking inquiries, confirmations, modifications, and cancellations. Respond promptly and professionally to client inquiries and concerns.
4.Documentation: Maintain detailed and accurate records of all bookings, including client information, preferences, special requests, and any relevant notes.
5.Problem resolution: Proactively identify and resolve any issues or conflicts that may arise during the booking process. Offer suitable solutions, alternatives, or compromises to minimize disruptions and maintain client satisfaction.
6.Reporting: Prepare regular reports on booking activities, client feedback, or any other relevant metrics. Provide insights and recommendations for improvement.
Requirements:
1.Experience: Prior experience in booking database systems preferred. Familiarity with scheduling software, online booking platforms or reservation systems is highly desirable.
2.Organizational skills: strong organizational and multitasking abilities to manage multiple bookings, appointments, or reservations simultaneously while ensuring accuracy and attention to detail.
3.Communication Skills: Excellent verbal and written communication skills to interact with clients, team members, and external stakeholders effectively. Ability to provide clear instructions, information and excellent customer service.
4.Computer Proficiency: Proficient in using booking management software, calendars, spreadsheets, and other relevant tools or systems.
5.Teamwork: Collaborative mindset to work effectively with internal teams, external vendors or service providers to coordinate bookings.
6.Professionalism: Maintain a high level of professionalism, confidentiality, and ethical standards in handling client information and interactions.
7.Ability to work independently and travel to the NY office on occasion.
8.At least 2 years of experience in a customer focused position.
Salary $38,000-40,000 a year
