About the position:


Reporting to the Associate Director, Direct Response, t he Associate, Direct Response will be responsible for project and administrative support of a complex multi-channel mass market fundraising program. This role helps ensure the program’s success by working with key internal and external stakeholders to keep the program on track by managing behind the scenes functions.


The Direct Response and Integrated Marketing team within Americares is projected to raise an approximate $18M in FY24 from a diverse individual donor base across 60+ annual campaigns spanning offline and online channels.


Key Outcomes:


In the first 90 day s , the Associate will b ecome familiar with and oversee internal and external systems and processes, including project management and financial workflows. They will also play a pivotal role in meeting organization: scheduling meetings, notetaking, and sending follow-up summaries with action items.


In the first 6 month s , the Associate will be expected to independently manage the acknowledgment program, document processes/workflows , and serve as the team resource for procurement processes and procedure s in relation to invoices.


I n the f irst year , the A ssociate will demonstrate proficient understanding of the Direct Response program and processes , be the project management and budget expert, and make recommendations on how to continuously improve workflows.


Duties and Responsibilities :


  • Gather program updates and content from internal colleagues to share with external vendors in a timely and organized fashion.
  • Create microsites/landing pages and source codes to track appeal responses.
  • Track and process expenses/invoices for team budget, making sure they are paid per the vendor’s requirements.
  • Oversee 3x weekly acknowledgement send s , including preparing data, coordinating with the mail house vendor, and reviewing proofs for accuracy ; conduct regular reviews and/or updates of copy, art, and processes
  • Review materials with a keen eye for detail – including but not limited to verifying production specs, proofreading copy for accuracy, checking photo releases and testing digital pieces for accuracy/ functionality
  • Help with overall project management of program, including maintaining a cross-channel integrated calendar and coordinating campaign production schedules and tasks/deadlines in project management tool.
  • Own relevant internal and external meetings, including s chedul ing and attend ing meetings, tak ing notes , summarizing the meeting in a follow-up message with action items .


We’d love to hear from you if …


  • You have US work authorization (required)
  • Analytical thinker and problem solver .
  • Strong project management skills with the ability to manage multiple projects involving various stakeholders from beginning to end .
  • 1-3 years of experience in an administrative support position. Experience in direct response marketing and/or fundraising a plus
  • Exceptional written and oral communication skills.
  • Good u nderstand ing of direct response fundraising principles , or willingness to learn.
  • Advanced organizational skills as evidenced by clear filing systems of relevant work documents, creation of schedules and project status reports, meeting deadlines and managing many competing priorities.
