Job Responsibilities


Administrative Coordinator II


Under limited supervision, plans, coordinates, and organizes complex administrative support for the Deputy Chief of Staff, CIO, and Senior Management leaders. Assists the Senior Leadership team in complex day-to-day operations and communications to various stakeholders and teams of the division to improve organizational effectiveness while facilitating efficient and effective operations of Office of Technology and Information Services. Relieves Senior leadership of administrative tasks involving a thorough understanding of functions, programs, and policies of the organization.


Responsibilities Of The Administrative Coordinator II


  • Assist Senior Leadership by tracking tasks, actions, and requests to ensure the success of critical enterprise initiatives. Oversees and manages urgent assignments. Working across all departments within the Office of Technology and Information Services.
  • Coordination of events as required. Complete other duties as assigned.
  • Plans and coordinates all office administration activities for the Deputy Chief of Staff, Chief Information Officer (CIO) and provide additional support to Senior Management and Leaders. Assists with special projects and other office duties upon request.
  • Arranges and coordinates logistics for meetings for Senior Leadership staff. Attends leadership meetings to record minutes, draft meeting recaps and assignments, and provides follow-up actions as appropriate.
  • Maintain and manage calendars for Senior Leadership team. Plan and maintain recurring meeting schedules. Plan and coordinate conferences, seminars, and workshops as requested. Arrange for the meeting facilities, refreshments, visual aids, etc. Work with vendors to accurately schedule meetings as required for on-site visits and conference calls. Make travel arrangements and assists leadership with all documentation related to events and travel.


Minimum And Additional Requirements


A high school diploma and relevant experience in business management.


Additional Requirements


Must be highly organized with attention to detail and ability to coordinate multiple tasks. Mastery of essential administrative tasks and tools, including correspondence, creating and monitoring calendars, overseeing and handling all matters expeditiously. Requires strong computer skills with proficiency using Microsoft Office products (Work, Excel, PowerPoint and Outlook). Thorough knowledge of processes and procedures pertaining to administrative support and general office management to include purchase cards, procurement, and human resources. Must be able to handle sensitive information and communication requirements in a discrete manner. Strong verbal and written communication skills. Knowledge of agency policies, procedures, rules, regulations and program services. Must be detail oriented with the ability to handle multiple changing priorities and effectively anticipate the needs of Senior Leadership.

Preferred Qualifications


  • 3 years of experience in an office administrative capacity
  • Intermediate level experience in Microsoft office products including Excel, Work, PowerPoint and Outlook
  • Experienced drafting executive level slide decks
  • Must be organized, detail oriented individual, able to multi-task in a fast paced environment supporting a leadership team
