Job Description
Position Overview


Fast paced professional association seeks an Administrative Assistant/Scheduler to manage daily office functions, answer phones and emails and route inquiries within the management team, provide administrative support for the CEO and senior management team and work on special projects supporting the association's mission. Successful candidate will have strong verbal and written communications skills, works well under direction, and has an interest in public policy.


Skills/Background


  • Organizational Skills - Ability to efficiently and independently multi-task and prioritize work.
  • Office Equipment Proficiency - Ability to work with office equipment including copiers, printers, postage meters, etc.
  • Adaptability - Demonstrated willingness and ability to adapt to changing conditions. Ability to multitask and prioritize across projects
  • Experience - College Degree or 4+ years' experience as a scheduler, administrative assistant, or office manager.
  • Professionalism - Professional, courteous manner.
  • Accountability - Ability to carry out job requirements with a minimum of supervision.
  • Interpersonal Skills - Ability to establish effective working relationships with others, including NASCUS colleagues and stakeholders across the industry.
  • Preferred Skills but not required: NetForum or other CRM experience a plus 2. Cvent (event registration system) 3. WordPress (website editing)
  • Highly Productive - Ability to work in a fast-paced environment with moderate oversite. Strong problem solving, project management, analytical and presentation skills.
  • Technical Proficiency: MS-Office Suite: Word, SharePoint, PowerPoint, Outlook and Excel 2. Virtual meeting management: MS Teams, Zoom, etc.
  • Communication - Proficiency in written and verbal communications skills.
  • Quality of Work - Degree of excellence in performance of job duties.


Job Duties


  • Organize and administer virtual meetings utilizing MS Teams and Zoom, including tracking attendance and attendee troubleshooting.
  • Maintain internal and external corporate e-calendars, including NASCUS events and meetings, major industry events, travel and leave dates for all staff, etc.
  • Establish and maintain highly organized corporate filing system; file correspondence, reports, and other relevant documents.
  • Point of contact for general office maintenance and equipment operations; coordinate maintenance requests with building management.
  • Assist with preparation of materials and mailings for membership renewals, educational events, joint leadership meetings, committee meetings, etc.
  • Assist other team members as needed, including creating meeting materials (packets, name tags, etc.), sending out member-based emails, updating NASCUS events calendar web content, taking meeting minutes, etc.
  • Point person for monitoring and ordering inventory of office supplies.
  • Responsible for processing outgoing courier/shipping services; processing and distributing mail and incoming fax documents.
  • Responsible for answering and routing calls, taking messages, admitting and greeting visitors, and maintaining reception area to a high professional standard.
  • Operate association management software (AMS) system and electronic delivery systems, entering/updating data in member database and distribution lists.
  • Assist with registering members for training events.
  • Provide administrative support to the President & CEO including but not limited to: calendar maintenance, business meeting logistics, travel arrangements, and expense reports.
  • Provide additional administrative office support and assist with special projects as assigned.


Other


Nature of the position requires this employee to be in the office 5 days a week. Minimal travel (2-3 times a year) is expected.
