Job Description
Summary


Acts as receptionist and provides administrative support to the Center, the Advising staff, and the Senior Director. Key front facing position serving as a resource to all incoming students for their first point of contact with academic offices, guiding students, parents, faculty, and staff of the College, through services, contact points, and processes that the Center for Advising and Academic Services provides and supports. Working with the advising staff, this person both sets the tone for how we support the goal of student academic success, but builds on our role as the central touchpoint for students as we connect them with other offices, people, and services across campus.


Duties And Responsibilities


  • Assist in the outreach to, and communication with students as relates to getting enrolled, each term, from the point of admission to degree completion. Including additional outreach for meetings with students regarding degree progress, Degree Audit review, Academic Standing discussions, and group meetings as arranged.
  • Reception responsibilities including, answering all incoming calls, and back up advisor phone calls, to the Center. Review, forward or respond, all main Advising Center email box communications.
  • Maintain and notate on student records as appropriate, using the different applications and software systems for students enrolled at the College.
  • Act as the primary resource to all callers, students, visitors, about who, what, when, where, and why of the many different offices, activities, deadlines, and services across campus.
  • Maintain documentation on all office procedures and administrative functions that are addressed by and with this position to ensure continuity, and opportunity for review.
  • Maintain office supplies, manage office equipment needs, and liaise with campus-wide offices as needs be to ensure office is properly maintained, and represents the Center well.
  • Assist in the Transfer Admission process as supervised by the Advising Directors, with the vetting of documents, the editing of lists, the research and documentation of course information, and other tasks as assigned to ensure the completion and posting of all transfer work being assessed.
  • Review, edit, support Advisors in keeping their student appointments, confirming format, type of appointment, and rescheduling as needed. Also, assisting students in scheduling an appointment through the on-line application used for this purpose.
  • Participate in or support the Advising Center in collaborations between offices and in campus-wide events as needed, which may include Admissions Open House or Welcome days, Orientation, and Graduation.


Qualifications


Education: HS/GED, some college experience preferred


Experience: 3 to 5 years of experience in an office/education setting, with high volume, quality control and customer service outcomes assessments. Working in a setting with tiered staffing and different levels of support for each. Communication in a variety of forms, across different constituents within the organization and outside of the organization.


Specialized Skills: Knowledge and demonstrated use of Microsoft office suite, Student Information System software, i.e. PeopleSoft, Starfish, educational software, and skills in typing, proofreading, and editing as needed. Excellent organizational skills, for efficiency, for planning, and collaboration. Communications skills, oral, written, and listening, for both in person and phone interactions with a variety of populations, in particular, interpersonal skills in stressful situations.
