Job Description

Minimum: Three years of relevant experience. Please note the following substitutions: Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

Preferred: Preferred qualifications include knowledge of New York State government operations and policies, as well as experience with the Statewide Financial System (SFS).


Duties Description
The New York State Office of Indigent Legal Services (ILS) is launching a Western New York Regional Support Center in Buffalo. The ILS Western New York Regional Support Center (WNY RSC) addresses the compelling need for ILS to provide state expertise for local providers of indigent defense services and governments and to assure that the reforms initiated by the Hurrell-Harring settlement and its extension statewide under Executive Law § 832(4) will be implemented as effectively and as efficiently as possible in western New York counties.

The Administrative Assistant reports to the Attorney-in-Charge of the Regional Support Center and is responsible for supporting the daily operations of the office. Specific duties include:

  • Manages the schedule and communication of the Attorney-in-Charge; assists other staff in scheduling events, meetings, and convenings

  • Manages the Western New York Regional Support Center’s main phone line; greets visitors; and coordinates mail distribution

  • Upon request, drafts and distributes meeting notes and correspondence

  • Assists Western New York Regional Support Center staff in formatting documents for wider distribution

  • Creates and maintains electronic filing systems for the Western New York Regional Support Center

  • Maintains comprehensive records of Western New York Regional Support Center activities

  • In coordination with ILS Administrative Officer and/or Manager of Information Services, operates office equipment such as printers, scanners, and copiers, and arranges for repairs

  • Creates travel expense reports for all Western New York Regional Support Center staff for submission in the Statewide Financial System (SFS)

  • Maintains office supply inventory; processes payments for professional organization memberships and trainings; and reconciles charges in the (SFS)

  • Provides general administrative support to all Western New York Regional Support Center staff

  • Performs other related duties as assigned by the Attorney-in-Charge of Western New York Regional Support Center and/or the ILS Director
