Job Description
BAIG Administrative Assistant/Receptionist


You will work directly with our Management Team to ensure all administrative tasks are efficiently and effectively implemented. Must have strong interpersonal skills, the ability to manage multiple tasks at once, and a wide breadth of experience managing details.


Administrative Assistant will help BAIG improve the way the community cares for individuals with disabilities and open doors for more independence, community integration, meaningful relationships and fulfilling life experiences.


Job Duties


  • Maintain a neat and clean work environment and professional appearance, and adherence to relevant health and safety procedures.
  • Taking minutes at assigned meetings.
  • Perform other administrative duties as needed.
  • Manage large amounts of information.
  • Enthusiastically welcome all job applicants, contractors, employees, vendors, and visitors by greeting them in person, answering inquiries, provide problem resolution and direction.
  • Prioritizing and managing multiple tasks to meet deadlines.
  • Process employee and subcontractor applications with speed and accuracy.
  • Ensure New hire compliance activities such as backgrounds, trainings, employees files, etc…are completed.
  • Maintaining an accurate and up-to-date filing system.
  • Communicate technical instructions to non-technical individuals.
  • Answering, screening, and directing telephone calls with professionalism. Scheduling appointments/calendar management (including coordination of logistics as necessary, notices, support materials, meeting room, catering, etc.).


Qualifications

Sense of humor is required to deal with daily chaos.


Good at dealing with ambiguity, able to act without the complete picture.


Comfortable with making some mistakes and using them as learning opportunities.


Ability to manage multiple priorities and quickly adapt to changes.


Competent in organizational, time management skills.


Excellent computer skills including Microsoft Office (PowerPoint, Outlook, Excel) with the ability to learn new applications.


Demonstrate good judgment, problem-solving and decision-making skills.


Demonstrates effective verbal and written communication that is clear, well-organized, and Demonstrates an understanding of audience needs.


Ability to handle confidential information and set priorities.


Experience Managing Applicant Tracking Software Preferred.


Experience in onboarding new employees preferred.


Experience in creating a social media presence, website (Word Press) and/or marketing is a plus.
