Administrative Associate - UTPD
Non-Exempt
Job Pay Grade: MR03
Position Summary
Responsible for the general administrative support of the Administrative Division of UTPD.The position will be primarily responsible for administrative support for the training and quartermaster sergeant but will also provide occasional support to the accreditation unit and other administrative units.
Position Qualifications
  • Preferred -Associate’s degree
  • Minimum- High School Diploma, 21 years of age

Position Description Administrative Assistant for police quartermaster/training unit:
  • Responds to requests and follows up with others on behalf of supervisor
  • Filing, typing, copying, binding, and scanning documents
  • Maintain employee uniform closet
  • Assist in the preparation of regularly scheduled reports
  • Prepares correspondence
  • Work with UTPD business manager concerning purchase requests, invoices, etc.
  • Ensure proper operation of equipment by completing preventive maintenance checks; example-AED pads not expired
  • Provides general customer service in administrative division
  • Works with confidential and time sensitive information
  • Good written and verbal communication skills. Positive interpersonal skills. Decision making skills. Active listening skills. Strong computer skills including data entry, Excel proficiency, basic knowledge of Word and Adobe Professional.
  • Conduct data entry
  • Complete filing and record submissions when required
  • Implement administrative processes to organize and streamline unit
  • Provide polite and professional communication
  • Assist with quartermaster inventory tracking and replenishment of inventory
  • Take accurate minutes of meetings
  • Works with departments internal and external to the University
  • Assist with managing fleet by coordinating appointments and vehicle pickups
  • Assist in scheduling for the training department
  • Compiles documents and reports
  • Maintain computerized and manual filing systems
  • Answers phones and respond to email inquires
Accreditation Unit Administrative Support
  • Support may include assisting with tasks for accreditation assessments
  • Provide administrative support for accreditation or other units at UTPD
  • Other duties as assigned Statistical reporting
  • Contribute to team effort by assisting other departments/units when needed
  • Compiling proofs
Hours
Standard administrative hours, typically 8 am – 5 pm.
Process
Candidates should complete an online application with the UT Office of Human Resources.A committee will review applications and conduct interviews for the position. Committee recommendations will be forwarded to the Chief of Police. The Chief of Police may conduct final interviews. The Chief of Police or designee will select the applicant for this position.
