Job Description

Summary
  • Join our dynamic team at Genesis Digital Assets (GDA) as an Administrative Assistant supporting the Head of North America.
  • This role presents an exciting opportunity for a highly organized and collaborative individual to manage a diverse range of responsibilities for our Houston office and beyond. As part of the role, you will provide support to senior leaders in Human Resources, Communications, and other departments. Collaboration with contacts across North America and global organizations will be a key aspect of this position.
Responsibilities
  • Support internal and external events, including scheduling, exploring potential event locations, planning, and actively participating in various employee activities.
  • Utilize various software tools such as word processing, spreadsheets, databases, and presentation software.
  • Additionally, provide fiduciary administrative support to the GDA global Management and Human Resource department.
  • Provide general administrative support to the team.
  • Maintain and retrieve corporate records, documents, and reports.
  • Conduct research and compile data to prepare documents for review and presentation by executives.
  • Accurately record meeting minutes.
  • Review and distribute incoming memos and submissions as necessary.
  • Fulfill general office duties, including supply ordering and managing a records database.
  • Assist in onboarding new leaders by facilitating equipment orders (computers, cell phones, etc.), providing initial access and system orientation.
  • Assist in the overall administrative management of the Houston office.
  • Provide administrative support to the Head of North America.
  • Efficiently handle time-sensitive corporate documents, including proactively organizing required executive signatures, following proper recording procedures, and ensuring prompt mailing.
  • Perform basic bookkeeping tasks.
  • Assist in meeting preparation.
  • Leverage virtual assistant skills to work remotely on Fridays.
  • Sort and distribute incoming faxes, emails, and other correspondence.
  • Arrange travel accommodations for executives.
Your Background
  • Proficiency in Microsoft Office suite and other software programs. Ability to compose professional correspondence.
  • Excellent organizational skills with a strong sense of urgency and the ability to prioritize responsibilities effectively.
  • Strong interpersonal skills and the ability to work effectively and communicate with employees from all levels and functions within the organization.
  • Highly motivated self-starter with a positive, can-do attitude.
  • Proven ability to manage multiple projects simultaneously and support various members of the executive management team.
  • High School diploma and a minimum of 5 years of experience, or a special combination of education, experience, and demonstrated accomplishments.
  • Experience handling confidential information pertaining to employees and organizational strategy.
  • Candidates must possess work authorization to work for GDA in the United States.
