Job Description
Administrative Assistant to Recruiting and HR / New Hire Compliance


CommuniCare Health Services is hiring an Administrative Assistant to Recruiting and HR for our growing Recruitment team. The position’s primary responsibility is to initiate, manage, and complete all new hire requirements for new employees.


This position requires excellent customer service, a strong sense of urgency, and attention to detail. This is a high visibility role that works with multiple internal departments and provides regular status updates to the Recruitment Director and the Regional and Corporate team. The Administrative Assistant will ensure timely completion of deadlines and delivery targets. The ideal candidate will be flexible, eager to learn and to develop a new hire compliance knowledge base, and possess strong communication skills across multiple platforms (Outlook, Workday, phone etc.).

Requirements:


  • Proficiency with Microsoft Office Suite (Outlook, Office, Excel etc.)
  • Must be computer literate and well versed utilizing technology
  • Self-driven with a sense of urgency
  • Ability to handle conflicting priorities and interfacing with all levels of the business in a courteous and professional manner
  • Experience using an applicant tracking system a plus
  • Experience with Workday or other ERP preferred


Responsibilities include:


  • Maintain accurate data entry of new hire information into appropriate systems (Workday)
  • Initiate and monitor standard new hire paperwork (Form W-4, I-9, state-specific compliance forms etc.)
  • Coordinate new hire start date and orientation with candidate and hiring manager
  • Assist with miscellaneous tasks, projects, and initiatives as needed
  • Initiate all new hire tasks in Workday ensure that new hires complete all required onboarding task and is prepared to start employment in a timely manner
  • Communicate background check results in compliance with all state and Federal laws
  • Adhere to state and Federal employment record keeping and procedures
  • Interact with, department heads, and various team leaders to ensure timely delivery of candidates
  • Provide multiple, daily status updates to management
  • Verify and maintain all pertinent data fields within internal systems to ensure minimal back office errors
  • Initiate and monitor background checks
  • Coordinate with the IT department and hiring managers to ensure IT equipment is ordered and that all proper access in granted to new hire
