Job Description
Pay Range: $25.18-$37.75 Company Overview:

One of the world’s most respected comprehensive centers devoted exclusively to cancer, we have been recognized as one of the top two cancer hospitals in the country by U.S. News & World Report for more than 30 years.

In compliance with applicable State regulatory authorities, COVID-19 vaccination is mandatory for all MSK staff. Staff are considered fully vaccinated upon completion of a primary vaccination series for COVID-19 (i.e., one dose of a single dose vaccine or a final dose of a multi-dose vaccine series). Exceptions from the COVID-19 vaccine requirement are permitted for those who request and receive an approved medical or fully remote exemption. Requests for medical exemption can take up to two weeks to review. Vaccination or an approved medical exemption is required to start work.
  • Staff working at a MSK New Jersey location must be up to date with COVID-19 vaccination, which includes having completed the primary COVID-19 vaccination series and booster once eligible as mandated by New Jersey State. All New Jersey staff not yet eligible for a booster must receive a booster within 3 weeks of becoming eligible as a condition of continued employment at MSK.

Note:
Individuals are eligible to receive a COVID-19 booster two months after completion of a primary vaccination series for COVID-19. Because vaccine-induced immunity can wane over time, MSK continues to strongly urge all staff to get a COVID-19 booster as soon as they become eligible to maintain their protective immunity for a longer period.

We are seeking an Administrative Assistant to support the Division of Subspecialty and the General Oncology Service in the Department of Pediatrics (MSK Kids). Are you passionate about our mission and supporting our leaders? We want you to join us!


You Are:

You Will:

  • Perform various clerical duties and administrative duties, including but not limited to:
  • Work collaboratively with others to meet shared objectives and goals and provide operational support when necessary
  • Answer assigned phone lines and direct calls; use correct telephone techniques and procedures when receiving and making calls; cross-cover other lines as assigned.
  • Schedule appointments, meetings, and conferences as requested. Manage complex calendars of department staff, using independent judgment based on knowledge of priorities and resources
  • Proofread all documents before submission to different stakeholders; ensures proper use of terminology, spelling, grammar, and consistency of information
  • Ensure confidentiality of critical documents and information as per department and institution guidelines
  • Discusses audiovisual equipment needed with the requester, Conference Planning, and order supplies as necessary.
  • Complete all travel authorization and travel reimbursements for physicians
  • Arrange for appropriate meeting space and set up based on meeting requirements
  • Provide support to the Head of the Division of Subspecialty Pediatrics and the Service Chief of the Academic Pediatric Oncology Service and assist additional team members as necessary.
  • Assist with creating agendas, preparing presentations, and taking meeting minutes
  • Operate independently, with discretion, in a fast-paced and constantly evolving environment.
  • Manage data and create documents; oversee the flow of visitors/staff and activities throughout the administrative suite.


You Have:

  • Proficiency in Microsoft Office suite - Outlook, Word, Excel, PowerPoint
  • Strong prioritization, attention to detail, and organizational skills.
  • Calendar management experience and coordinating schedules
  • Excellent written and oral communication skills
  • 2 years of experience in a medical setting preferred


#LI-HYBRID Hours: Monday-Friday 9 am-5 pm. This is a hybrid role (3 days on site, 2 days remote weekly), Location 1275 York Avenue, New York. NY
