Job Description

This position operates as an Administrative Assistant in the Global Tax department and will provide administrative support to the Global Tax colleagues worldwide. The position is based at the company’s New York, NY office.
The candidate must be a highly motivated individual with experience as an administrative assistant as well as proven management and organizational skills. Excellent oral and written communication skills are required. Must be able to liaise with both internal and external stakeholders at very senior positions.

What You Will Achieve
Your strong communication and collaboration skills will help the administrative team to run its operations efficiently. You will focus primarily on administrative coordination to the Pfizer Tax team. You will also be responsible for managing records and files, verifying data, responding to mails and scheduling meetings, amongst other things.
As part of the administrative support team, you have comprehensive knowledge and skills in your area and understand how related areas impact it. You take initiative to represent your department on cross-functional teams. You are proactive in sharing knowledge and expertise with others in your work group. You are seen as someone who promotes teamwork and always motivates others to achieve team objectives. Your systematic approach and organizational abilities will ensure that communication between departments and teams is seamless.

How You Will Achieve It
  • Plans and coordinates a variety of meetings and events, such as staff meetings (including recording of action items) and a variety of recurring events with groups inside and outside of Pfizer when necessary.
  • Provides project management assistance when necessary.
  • Expedites flow of work, and initiates follow-up, when necessary, particularly when supervisors are traveling.
  • Assists NY tax team (a team of ~10 colleagues) with general filing, faxing, legal clerical work.
  • Works closely with and be back up support to Executive Administrative Assistant.
  • Organizes and maintains files.
  • Fields incoming messages and replies to routine inquiries.
  • Provides administrative assistance to Senior VP of Global Tax, if requested.
  • Orders office supplies and equipment.
  • Coordinates and manages travel arrangements and prepares expense reports.
  • Assists with onboarding and offboarding of employees and contractors.
  • Prepares and edits reports and presentations using Microsoft Office software.
  • Supports technology solutions to improve team productivity, including collaboration with Business Technology.
  • Provides full meeting support including reserving conference rooms, setting up audio/video conferences, office room set-up, registration for outside guests, etc.
  • Handles confidential documents, maintains databases, writes summaries, works within departmental systems.
  • Works with Global Operations to manage departmental office space and moves.
Qualifications
Must-Have
  • 4+ years' experience
  • Excellent attention to detail, time management, organization, and prioritization skills.
  • Demonstrated interpersonal and team-oriented skills.
  • High School Diploma or GED
  • Demonstrated experience coordinating domestic and international travel.
  • Previous experience that demonstrates ability to proactively carry out administrative functions proficiently, and to complete quality work in an accurate and timely manner.
  • Demonstrate expert knowledge and proficiency with general office procedures, such as telephone reception, customer service, e-mail etiquette etc.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
  • Demonstrated verbal and written communication skills.
Nice-to-Have
  • Ability to take direction and work with minimal oversight.
  • Bachelor's Degree.
  • Experience using applications, such as Concur, SAP, Ariba, and billing systems.
PHYSICAL/MENTAL REQUIREMENTS
  • Must be an agile learner and able to prioritize multiple projects including multi-tasking complex projects.
  • Be able to work non-standard hours at times due to time zone differences and/or business requirements.

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS
  • Limited travel may be required to the Pfizer Peapack, New Jersey offices.

The salary for this position ranges from $31.36 to $52.27 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies. Benefits offered include a retirement savings plan, paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
