SUMMARY Support TOM FORD BEAUTY leaders to ensure effective ongoing operations.

TOM FORD BEAUTY is designed to amplify individual beauty with a collection of sumptuous cosmetics, extraordinary fragrances, and advanced skincare.
Responsibilities
  • Order office supplies and handle other office related procurement activities as needed for the 3 Vice Presidents
  • Facilitate shipping needs to domestic and international affiliates
  • Prepare and processes monthly expense reports
  • Manages product closet including budget tracking, inventory ordering and organization, and enforcement of product request process. Prepare gift bags as requested by VPs
  • Coordinate travel arrangements including itineraries, agendas, and visas
  • Collects agenda topics as requested for standing team meetings
  • Ad hoc general administrative duties
  • Maintains designated Tom Ford Beauty email group aliases
  • Proactively handle any routine matters
  • Responsible for managing the calendar (accepting and re-scheduling meetings and conference calls), answering phones, taking messages, initiating conference calls and overall administrative support three Vice Presidents
  • Collaborate with other Global TFB Administrative Assistants, as necessary
  • Support in administrative planning and coordinating of major meetings (i.e. Global Conferences and Workshops, Regional Roundtables, Innovation and Brand Strategy meetings) including reserving conference rooms and working with Office Services for room setups, audio-visual needs, security, transportation of materials, catering, etc.
  • Process invoices through the SAP and Oracle system, as requested
Qualifications
QUALIFICATIONS
  • Ability to be flexible and agile, savvy and analyze facts, proactive, resourceful and draw conclusions, provide insight and problem solve, quick learner.
  • Must be comfortable working with diverse personalities in a highly complex, fast moving business environment.
  • College/University graduate required.
  • Excellent interpersonal skills.
  • Mature with strong work ethic, high level of integrity, sense of dedication, and commitment to strive for excellence.
  • Work collaboratively with all functions and departments within the organization.
  • Communication skills possess concise verbal and written skills that will allow incumbent to communicate productively with wide range of people, both internally and externally.
  • Display professionalism, diplomacy, and discretion when handling matters of a confidential nature.
  • A positive and calm demeanor.
  • Advanced computer skills including Microsoft applications – Outlook, Word, Excel, and PowerPoint.
  • International experience an asset.
  • Very strong attention to detail
  • 2-3+ years in a corporate environment providing administrative support
The anticipated hourly range for this position is $31.25 to $49.25. Exact hourly rate depends on several factors such as experience, skills, education, and budget. Hourly range may vary based on geographic location. In addition to hourly rate, this position may be eligible for an annual discretionary bonus.
