Staff Administrative Assistant (Remote), Non-Exempt, Temporary,

Monarch Psychiatric NP PLLC is an outpatient setting virtual mental health and psychiatric care practice that was founded by the owner, a psychiatric nurse practitioner with training in many settings.We were founded in 2020 and now serve the adult populations in New York, Florida, and Arizona, and have plans of expanding access to care nationwide.We treat many different types of conditions and populations and take pride in what we do with passion and dignity on our mission to help others achieve their mental wellness goals.

Job title: Staff Administrative Assistant, Temp Position, Full-Time

Location: Remote.The expectation of the company when an employee works in this position remotely is that they are able to maintain a professional work environment at all time.The location of the virtual/remote environment may vary but should remain in the state of their home residence.If you are to relocate out of your home state, you must notify your supervisor immediately so that the company can make appropriate adjustments in relation to employment.

A virtual/work environment includes a private office space that is ergonomically-structured with access to equipment needed to perform the job such as a computer and telephone device.It should be free from distractions, noxious stimuli, and excessive or loud noise.It should have adequate natural light or artificial light available for use.The expectation is that there are certain pieces of furniture such as a desk and a chair suitable for promoting healthy posture and body mechanics and if holding video calls does not have objects in view of the camera or ones that may be distracting or contain graphic images or ones containing explicit words, images, or otherwise be considered unacceptable in a typical mental health office space.Please ask your supervisor about any questions or concerns in relation to what may or may not be appropriate for the remote setting.

All work hours, shift, and schedule are based using Eastern Standard Time or Eastern Daylight Time.Patients will be scheduled based on EST/EDT.Please talk with your supervisor around questions related to this.

Hours: Varied.See below based on position type and shift schedule.The company may serve patients at any time within a 24-hour day but the office is restricted to business operations and duties between the hours of 9am-9pm.

Part-time position: Less than 35 hours per week, must work a minimum of 16 hours per week, schedule to be determined by supervisor

Full-time position: Must work a minimum of 35 hours per week, schedule to be determined by supervisor

Time Zone: Eastern, EST, EDT

Shifts: Varied.Monday to Friday, no weekends unless pre-approved or authorized, no federal holidays (see United States calendar or ask supervisor).

Key requirements:

·High School Diploma or GED

·Basic customer service skills

·Fluent in English language in both reading, writing, and speaking

·Must pass a background check and standard clearance

·Must pass a drug test screening

·Knowledge of common systems used in a health practice such as EMRs

·Knowledge of billing insurance companies or willingness to learn

·Proficient in Microsoft Word, Excel, PowerPoint, and other related applications

·Ability to multi-task

·Knowledge of use of a phone system, voicemail

·Expert at writing emails, managing tasks, and communicating

·Positive attitude

·Maintains professionalism at all times amongst staff and patients

·Does not currently have a medical or psychiatric condition that would otherwise limit the ability to perform these job descriptions

Salary & benefits: Wage starting at $15/hr.Overtime may be paid at 1.5 hours any work over 40 hours in a scheduled week.Paychecks to be dispersed electronically-only every week on Monday unless it is on a federal holiday in which case may be paid on the Friday before or the Tuesday after this holiday.

Vacation: Temporary employment is not offered a vacation allowance at this time.Should the employee enter into a permanent position, these benefits will be discussed per company policy.

Personal leave: After 30 days of employment, an employee is entitled to take unpaid personal leave day(s).Temporary employees are given 3 days of unpaid personal leave time that renews annually from the first date of employment for each year of employment in accordance with our usual policies.Personal leave is considered to be used in times where a personal business matter may apply, unexpected illness, or family-related concerns.

Sick leave: You will be entitled to sick pay which is accrued at the rate of 1 hour of paid sick leave for every 30 hours worked.This may be allocated for personal illness or health-related appointments each calendar year in accordance with our sick leave policy, which may be modified from time to time.

Insurance: We currently do not offer health insurance benefits to temporary positions and will offer health benefits for full-time employees in the near future.

Retirement funds/pension: We do offer a simple IRA with a 1% employer matching.

Worker’s compensation: Employees may still be entitled to worker’s compensation when working remotely and depending on state and federal laws.If you are injured on the job, you must report this immediately to your supervisor.

As the company expands, benefits entitlement may change and you will be notified in writing of such.Please speak to your supervisor with any questions in these regards.

Job role and responsibilities:

  • Scheduling and changing of appointments
  • Phone duties and tasks
  • Clinician calendar management
  • Use of email to communicate with patients and staff
  • Option to expand into marketing, social media postings
  • Additional tasks as required that allow for daily business operations
  • Use of an EMR and other software or website applications
  • Collection of copays and other fees
  • Insurance verifications and billing assistance

Training and Orientation: It is expected that all employees will be required to perform certain job training and receive a proper orientation of how to properly perform their job, learn expectations of their role, and be given time to understand the daily operation of business including certain systems we may use.The length of the training and orientation will be dependent on your ability to demonstrate competency of these skills and depending on the job role will work with someone closely under supervision until you are able to perform the job independently.Your supervisor will create a training schedule for you on the first day.
