Minimum: A Bachelor’s Degree in business, marketing, public administration, communications or other related field of study or equivalent experience.

The Grants and Data Manager reports to the Director of Programs.

Minimum of three years’ experience in data management or related field preferred

Serve as primary administrator of the Salesforce grants management and CRM databas

Effective management of Administrative Associate and interns

Manage the efficient and accurate processing, tracking, and reporting of all grants and expense payments.

Manage Administrative Associate and interns.

Ensures collaboration between grant management office and other financial areas such as budget and accounting.

Provides training and education as needed for direct staff and principal investigators for grant accounting.

Supervises and directs staff performing grant accounting functions includes pre-award, post award, and close-out.

Develop and hold staff accountable for timeliness, standards and continuous improvement.

Performs grant close outlet functions including reviewing general ledger transactions to ensure accuracy, preparing journal entries, and final federal financial reports.

Supports program staff with grant accounting needs, performs analysis, and supports programs with interim federal financial reports.

Oversees and participates in special projects and programs, as directed by departmental management staff and Economic Development Director.

Provides technical and administrative assistance to assigned management staff; develops, prepares, and presents reports, surveys, and performs other administrative activities.

Plan, organize, and carry out assignments from management staff with minimal direction.

Understand the organization and operation of various departments and of outside agencies as necessary to assume assigned responsibilities.

Prepare clear and effective financial, statistical, narrative, informational, and educational reports, correspondence, procedures, and other written material.

Develops and maintains specialized databases and systems for recording and tracking grant proposals, awards, and related statistical information.

Support the Director of Finance in preparing reports for the Executive Management Team.

Five years of grant management experience.

Experience in grants-level cash flow management.

Conduct budget vs. actual analysis and provide recommendations to senior leadership to support financial decision-making and project management.

Extensive knowledge of nonprofit budgeting and finance.

Maintain a schedule of all grants receivable and collaborate with the Finance team to develop cash flow projections.

Prepare budgets, forecasts, project quality estimates, and manage all quality management finances to achieve positive cost center/project financial performance.

American Society for Quality (ASQ), International Organization for Standards (ISO), or other quality management training and certification desired.

Team player, with strong leadership skills, who can operate effectively within a matrix management environment

Excellent consultative and communication skills and ability to interface effectively with all levels of management

As Compliance Officer, oversee maintenance of compliant procedures and risk management.

Settle disputes regarding contract interpretation, conditions or compliance with legal requirements.

Assist staff with the interpretation of contract terms, conditions and requirements to ensure contract compliance and billing accuracy.

Demonstrates a working knowledge of Microsoft suite of products with intermediate to advanced proficiency in Excel and Word.

Knowledge and experience with grants management systems, data tracking, and reporting

Inform and help to implement requirements for software systems to support grants management

At least 2 years of staff management experience, including proven track record in staff development

Proven organization and planning/time management skills; ability to meet deadlines

Change management, process improvement, and stakeholder engagement experience.

Oversee and develop the WFF Grants Management team of 4-6 associates

Maintain knowledge of FEMA PA and hazard mitigation grant programs to interact with applicants, federal agency representatives, peers, and project manager

Familiarity with emergency planning, mitigation planning and using grants management systems, including FEMA Grants Portal

Proficiency with Microsoft Office (Word, Excel, PowerPoint and Project Management Software)

Design and ensure accurate project work records are maintained and accessible to meet applicant needs and audit requirements

5+ years of FEMA project experience including program start-up through implementation and closeout

Experience in the critical infrastructure market, specifically the utility sector

Experience with creating systems and processes around grant financial management.

Bachelor’s Degree in accounting or finance or equivalent professional experience.

Five or more years in nonprofit accounting or grant financial management.

Manage awarded grants for multiple sites in collaboration with EDs, Development, and Finance:

Meets with staff when the grant is awarded to review responsibilities for grant tracking and reporting.

Track all conditions of grant awards, working with local sites to ensure all requirements are met.

Working knowledge, principles, and practices of office management/systems within a higher education environment, preferred. Demonstrates an understanding of underlying organizational issues.

Working knowledge of Cayuse Grants Management systems preferred.

Working knowledge of enterprise data management applications (e.g., SOAR, People Soft, Agiloft, Workday, Cayuse)

Minimum of 5 years of experience working in grants administration in a higher education setting preferred.

Analyzes funding opportunity announcements to understand sponsor requirements and limitations and communicates to faculty and other applicable stakeholders.

Advises PIs/PDs and the OSPR Executive Director of cost share commitment requirements and potential risks.

Analyze grants management related systems to help define project scopes and user requirements.

Minimum 7 years demonstrated experience in project management/grants management

Knowledge of the federal grant review process, and federal grants management systems, and/or meeting planning and execution

Focus on using technical systems integration and data management to streamline the processes and ensure stakeholder awareness through reporting.

Develop team task lists using project management software.

Assist in supporting the organization hosted grants management software by supplying cross training and functional documentation.

Other Preferred knowledge, skills, and abilities:

A minimum of 5 years of experience working in full-cycle grants administration, specifically with NSF and other federally-sponsored awards

Clear and effective written and verbal communication skills

Strong analytical and critical thinking skills

Ability to manage multiple priorities under deadlines

Demonstrated knowledge of federal grant related compliance and accounting principles, specifically 2CFR200

Knowledge of or ability to understand Office of Management and Budget (0MB) circulars applicable to sponsored projects.

Three years accounting and/or financial management experience

Work experience in higher education

Three years experience in a business related field.

Experience with preparing journal entries, posting from journals to general ledger, or preparing original general ledger entries.

Experience reconciling accounts and financial transactions.

Provide status information to your Manager including forecast/pipeline information.

3 to 10 years of Federal or DoD sales experience preferred.

Experience with FED sales cycle and contracts

Experience that demonstrates a strong level of expertise in technical specifications required to sell Nutanix products and services is required.
