The Role


Reporting to the President, the Grants/Administrative Manager is the primary contact for Foundation grant recipients and is relied on to ensure the smooth operation of the Foundation’s grantmaking, administrative, and operational duties. They have responsibility for overseeing the processes and procedures of grantmaking and requirements including compliance with laws and regulations, intake of grant requests, submission of grant payment schedules to accounting staff for payment, and reporting.


In addition, the Manager will be responsible for supporting the activities of the President. The responsibilities will be both administrative and operational.


The Grants/Administrative Manager will be responsible for the following duties:


Grant Management/Database Administration


  • Manage Administrative Associate and interns.
  • Prepare grant award letters, grant agreements, consulting agreements, and confidentiality agreements.
  • Manage the efficient and accurate processing, tracking, and reporting of all grants and expense payments.
  • Serve as primary administrator of the Salesforce grants management and CRM databas
  • Primary liaison to applicants and grantees


Budget/Expenses


  • Work closely with the Pritzker Family Office who is in charge of accounting.
  • Track and maintain the budget and expenditure.
  • Provide monthly reports on grants and expenses to the President.


Support the President


  • Assist with special projects assigned by the President including arranging meetings and drafting correspondence, as needed.
  • Support the President includes assisting in the creation of the board books for three meetings a year with the Trustees.


What Success In Year One Will Look Like


  • Proactively support the President to ensure that daily and long-term strategic activities are well coordinated, efficient, and effective
  • Effective management of Administrative Associate and interns
  • Ensure that Board materials are well prepared and timely.
  • Efficiently and accurately process, track, and report on financial expenditures


Education And Experience Requirements


  • Minimum of three years’ experience in data management or related field preferred
  • Knowledge and application of best practices in grant making is a plus.
  • Experience with Salesforce and Excel strongly preferred.
  • Bachelor’s degree preferred.

Compensation And Benefits


  • $10,000 discretionary giving to approved 501(c)3s offered after first year of employment.
  • Paid time off including: 15 vacation days, 2 personal days, 5 sick days, and 9 paid holidays.
  • Office is closed the week between Christmas and New Year’s Day.

  • $100,000 - $110,000 depending on experience
