PRIMARY DUTIES & RESPONSIBILITIES
The hiring range for this position is $25.90 - $32.38 hourly.
OVERVIEW OF POSITION / DEPARTMENT
The Training Records Support Specialist of the City of Aurora Police Department is responsible for the gathering, maintaining, archiving, and reporting of all training records. This position supports the department's training efforts and reports directly to the Training Bureau Command Officer.
  • Collection, archival, and audit of all department training lesson plans and supporting documentation
  • Prepares information for internal purposes that may be used for outside presentation at meetings
  • Recommends and establishes new records management systems as needed
  • Heightened responsibility for oversight, management, and reconciliation of member's training hours
  • Develop reports for LMS compliance
  • Training manager for Learning Management System (LMS)
  • Receives and responds to requests for information, i.e., Colorado Open Records Act (CORA), City Attorney, and Internal Affairs, etc., requests for training records
  • Performs other related duties as assigned
  • Manage Colorado POST reporting and compliance
  • Develops, maintains, verifies, and evaluates existing training records systems
UNIT SPECIFIC RESPONSIBILITIES
  • May be called to testify to the integrity of the record-keeping process, the chain of custody, and the storage system
  • Attend appropriate and necessary meetings, as required, to complete duties and responsibilities
  • Works closely with training leadership in all duties and responsibilities
  • May be privy to confidential legal documents and proceedings
  • Identifies and reports discrepancies in training reconciliation
  • Complete ongoing paperwork requirements for P.O.S.T. certification
  • Processes documents and reports
  • Perform Notary duties for the APD
MINIMUM QUALIFICATIONS & WORKING CONDITIONS
Education:
  • High school diploma or GED
Experience:
  • Three years of related experience in records management, including data entry, various applicable software applications, etc
Preferred Qualifications:
  • Preferred, but not required, previous experience working in a law enforcement or legal environment
Knowledge:
  • Understanding of statutory requirements for law enforcement record keeping
  • Knowledge of office practices and procedures
  • Knowledge of Colorado POST recording and reporting procedures
  • Advanced knowledge of business English, spelling, and math
  • Microsoft Office Suite
  • General office equipment and personal computers with related software applications
  • Manual and computer filing systems
Skills:
  • Strong interpersonal and organizational skills
  • Composition, grammar, and spelling
  • Ability to present reports both internally and to external audiences
  • Efficiently and accurately key information using a keyboard and abilities in performing data entry
  • Demonstrate proficiency in computer applications, including word processing, spreadsheets, report generation, and maintenance of databases

  • Defensive Driving completed through COA within six months of employment
Essential Personnel:
  • When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
  • Frequent speech communication and hearing to maintain communication with employees and citizens
  • Medium work that involves moving no more than 40 pounds with or without assistance at a time
  • Vision to read and interpret reports, documents, and other written information
  • Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift
  • Hand/eye coordination to operate a computer keyboard
Work Environment:
  • Works primarily in a clean, comfortable office/cubicle environment with shared equipment
Equipment Used:
  • Frequently uses computer keyboard and telephone, fax machines, and copier
  • This position may require the incumbent to occasionally use personal equipment (e.g., vehicle, cell phone, tools, etc.) in the course of their employment
