The Sr. Event Planner Coordinator is responsible for translating the company culture into a welcoming, attractive, safe, and compliant physical environments in NPTC Bridgewater, including planning events, visitor's reception, NPTC tours coordination, office layout management, conference rooms functionality, and relationship with contractors providing support in the site (Janitorial, Mailroom and Security), from contract negotiation to purchase order submission. This role is also responsible for the day-to-day performance of soft facilities services performed by external contractors and vendors and is the Nestle Site Security Champion with responsibility for the access control process to the campus and building. This position reports directly to the Sr Director of Site Operations.
Building Operations:
  • Supervise the functionality of the Hubs in the building, coordinating with SBM to ensure that the cafeteria items are available at all times, and verify the acquisition of general supplies, such as PPE, cleaning materials, and consumables
  • Responsible for the efficient functionality and setup of the conference rooms in the NPTC
  • Listen to feedback of employees and take actions to make the workplace more enjoyable, comfortable and secure
  • Coordinate site tours with SHE, Pilot Plant, Laboratories, create a clear plan for each tour and provide appropriate PPE to visitors
  • Responsible for office layout management, accommodate additional workspace for new employees and contractors as needed
  • Obtain campus and building badges for new employees ensuring access control based on training program completion.
Event Planning and Coordination:
  • Reserve Auditorium in Building K or rent additional venues when needed
  • Create communication material to guide Nestle employees and visitors regarding services in the building
  • Responsible for the availability of amenities offered during the event (coffee, water, snacks, catering services, office supplies, and other special needs as required)
  • Provide support to key events in the NPTC, being the coordinator of the non-technical activities and the key contact for visitors
  • Rent equipment to support events when required
Soft Facilities Services:
  • Gives support for security and doors access control.
  • Create Purchase Orders for vendors in the scope of the role confirm that the contract is current and approved.
  • Day to day engagement and supervision of external soft facilities management contractors. Supervises vendor performance for Janitorial, Mailroom and Security services.
  • Responsible for availability of additional amenities provided to the employees (fresh fruit, ice cream, vending machine items and nutritional supplements)
Compliance
  • Manage P-Card following Nestle Compliance practices
  • Follow company procedures regarding Purchase Orders creation, goods received, sourcing, and budget management
  • Assurance that the Purchase Orders are in line with the budget assigned
REQUIREMENTS
  • Knowledge of Purchase Orders creation and its controls
  • Ability to think critically and creatively to find solutions
  • Excellent collaboration and people skills with ability to multi-task interacting with diverse groups
  • Effective communicator, able to break down complex information into easy to understand key messages, good team player
  • B.S. Degree in Business Administration, Hospitality Management or related field
  • Minimum 5 years of experience in any of the following: Hospitality Management and or Soft Facilities Management
