Job Description

Summary: The Leadership Events Specialist reports to the Director of Leadership Events and provides high-level administrative and logistical support for ASTHO’s leadership events. This position works collaboratively with internal teams and external partners and vendors to ensure meeting needs and objectives are met in a timely manner and executed with optimal event experience for all participants and stakeholders.

Location: Remote

Anticipated salary: $63,000 Extended experience: up to $70,500 if experience exceeds expectations

Principal Functions:

  • Provide virtual meeting and logistical support: serve as host, monitor chat rooms, launch breakouts, and provide user support
  • Schedule, organize, and participate in meetings, calls, and other gatherings
  • Monitor meetings mailbox, responding to inquiries and updating related applications
  • Consult with project teams (or external clients) to understand and determine their meeting needs
  • Take accurate meeting notes and prepare summaries as appropriate
  • Prepare, edit, and distribute documents and professional correspondences
  • Serve as main logistical support for ASTHO’s leadership events, which includes managing registration, coordinating travel and logistics for event participants, responding to event inquiries, and preparing event materials
  • Reconcile event expenses in timely fashion
  • Travel to and provide on-site event support for ASTHO in-person/hybrid events
  • Actively participate in team, department, unit, and all staff meetings
  • Create and update event registration, including initial set up, pre and post event reports
  • Keep current on meeting format trends and changes to improve the quality of ASTHO’s meetings
  • Create and provide meeting reports to the Leadership Events Director on a regular basis

Qualifications:

  • 3+ years of meeting or event planning experience
  • Experience supporting virtual events is required
  • Ability to travel up to 30% is required
  • Must possess a strong knowledge of excel and have experience working with databases and virtual event software and applications
  • Bachelor’s degree in a related field
  • Strong organizational and time management skills necessary
  • Excellent written and oral communication skills are essential, as well as multitasking and troubleshooting
  • Experience working for membership association and/or government officials is preferred
  • Active Listening — Give full attention to what other people are saying, take time to understand the points being made and ask questions as appropriate
