Job Description

Who we are:

Organizing Resilience (OR) is a new initiative that responds to both the humanitarian and political crises that unfold during and after moments of climate disasters. Housed at the Amalgamated Charitable Foundation, OR connects resources to on-the-ground leaders from across the United States and Puerto Rico with the goal of building more powerful organizations, increasing the effectiveness of direct relief efforts, shifting narratives about climate disasters, and building capacity for policy campaigns that win meaningful victories for communities most affected by disasters.

What we’re looking for:

We’re seeking a contract Special Assistant to join OR’s small team during its third storm season of operation. Reporting to Lead Strategist Ginny Goldman, a longtime organizer and political strategist, the Special Assistant is responsible for making sure that multiple work streams run smoothly for the Lead Strategist in her internal and external engagements. This is a contract-based, fully remote role.

The ideal candidate is a generalist who can be relied upon to be organized, curious, calm, and thoughtful even in tense moments. This role requires the ability understand stakeholders priorities, absorb and analyze information, and produce a highly organized product that includes deliverables and proposed next steps– An ideal candidate should have not only a willingness to work in a fast-paced setting but thrive, adapt to changing circumstances, and be part of a team aiming for ambitious goals. This role will allow for expanded learning, making new and exciting connections, and the development of an array of professional skills.

Areas of responsibility:

  • Preparing any necessary documents, agendas, or briefings for Lead Strategist meetings;
  • Conduct meeting follow up, including sharing clear and concise meeting notes, follow up emails, etc.
  • Scheduling: Manage the Lead Strategist’s calendar to align with her priorities. This includes:
  • Document Management: Working closely with the Operations Associate, develop and maintain systems for managing substantive organization of OR’s documents and materials that align with the Lead Strategist’s vision and priorities.
  • Travel and Events: Coordinate with internal and external partners to identify goals for the Lead Strategist’s participation in events (e.g. conferences, speaking opportunities, fundraising meetings), prepare relevant documents/presentations in advance, identify and research key stakeholders for the Lead Strategist, and ensure that logistics are seamless.. Play a lead role in coordinating document management for agendas and other materials for internal OR meetings and events, when the Lead Strategist is the leader of the meeting. Book individual travel for the Lead Strategist and coordinate with the Operations Associate to handle invoicing and supplies on the Lead Strategist’s behalf.
  • Ensure virtual meetings are timely and error free by to attend by providing information in advance, sharing slides/documents, and taking notes as necessary and;
  • Correspondence and Light Content Production. Communicate on behalf of the Lead Strategist to a high standard of professional correspondence consistent with ACF and OR practices. Produce short written materials to support organizational objectives, based on existing documents and text. Copyedit and polish documents and presentations as needed.
  • Organizational Awareness through Relationships. Maintain strong working knowledge of the organization’s activities, its partners, supporters, and other stakeholders by building relationships with key team members, being present in meetings, following through on commitments, and ensuring a working knowledge of relevant current events, with the goal of increasing the capacity of the Lead Strategist to maintain strong relationships and her ability to prioritize time and resources.

Skills and Qualifications:

  • College track or equivalent experience preferred.
  • High capacity for independent work and the ability to propose and develop ideas.
  • Strong communication and writing skills across multiple mediums.
  • Strong attention to detail.
  • Strategic perspective - you anticipate opportunities and challenges and prepare multiple options for action.
  • Political or policy campaign experience preferred.
  • Relentless follow-through - You build trust with internal and external stakeholders by your ability to consistently achieve deliverables in a timely fashion.
  • Systems thinking - you organize yourself and others into systems that are easy to use and understand.

Role structure, Compensation, and Location:

This is a part-time contract role with the possibility of converting into a full-time staff role at the Amalgamated Charitable Foundation in 2024. The position will be compensated at $5,000/month for approximately 120 hours per month (about 30 hours a week). The role requires synchronous work with the Lead Strategist and being available during daytime working hours (central standard time). The role is fully remote within the U.S., with optional access to OR’s offices in Houston, TX. Occasional travel may be required to support in-person events.
