Senior Electronic Billing Specialist – Intellectual Property Law Firm
Carter, DeLuca, & Farrell, LLP is an established, steadily growing intellectual property law firm. We are seeking an experienced, full time Senior Electronic Billing (e-billing) Specialist for a non-exempt position for our Melville, NY office, for our Alexandria, VA office, or for our Dallas, TX office.
We are seeking a Senior Electronic Billing (e-billing) Specialist to manage and support to join our team and help to manage and support our New York, Virginia and Dallas Offices. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.

Job Responsibilities
As a Senior E-Billing Specialist, you will be responsible for the submission of electronic invoices to clients on a monthly basis, overseeing the transition of clients to e-billing, and providing follow-up support to attorneys, practice office staff, and clients in all aspects related to electronic billing. Other key responsibilities include:
- Generating and distributing pre-bills monthly and as requested, processing final invoices;
- Performing necessary technical and logistical tasks with internal staff, vendor staff, and clients’ designated personnel in the transition of clients to electronic billing;
- Submitting electronic billing using various vendor websites;
- Liaising with billing attorney/secretary, practice office accounting staff, and client representatives in the resubmission of invoices; ensuring corrective action is in place for future submissions;
- Maintaining accurate and orderly records of all client guidelines;
- Ensuring successful transmission of e-Bills and following up when necessary;
- Generating LEDES and other file formats for electronic billing;
- Populating, maintaining and updating data for assigned clients in the 3E system and clients’ external web applications; ensuring all relevant information is updated and correlated in the firm’s 3E system;
- Acting as liaison between billing attorney/secretarial staff, practice office billing staff, and clients’ staff assigned to electronic billing by providing expert level subject matter support;
- Implementing and maintaining correct client exception rates on matter/client, where required; and
- Experience with scrubbing data within Microsoft Access.
- Handling heavy volume of highly complex e-submission assignments for key corporate clients; ensuring all client guidelines, internal protocol, and firm’s guidelines are followed during submission process;
Job Requirements
This position has the following requirements:
- A Bachelor’s degree in Accounting, Finance or related field;
- A minimum of five (5) years of experience involving general accounting practices; and
- A minimum of two (2) years of experience with 3E Billing system and E-billing vendors, with knowledge of 3E’s E-Invoicing module is a plus;
- A minimum of four (4) years of experience involving billing processes and practices.
Suitable candidates must:
- Demonstrate knowledge and experience with web based e-billing systems and vendors (e.g., Serengeti Tracker, Passport, Collaborati, BillingPoint, Timeslips, AppColl, or equivalents);
- Display the ability to test and troubleshoot multiple e-software applications, summarize findings and identify potential problem areas;
- Possess familiarity with LEDES formats, with knowledge of Ascii and XML formats is a plus; and
- Possess familiarity with the following management programs (e.g., CounselGo, Anaqua, Microsoft Access, or equivalents).
The physical demands described herein are representative of those that must be met by an employee in order for him or her to successfully perform the essential functions of this position. While performing the duties of this position, the employee is regularly required to:
- Be able to move about inside the office to access various items; and
- Must be able to constantly operate office equipment including, but not limited to computers, computer mouse, hand held devices, and copy machines.
- Remain in a stationary position the majority of the work day;
Compensation & Benefits

The salary range for this role is $65,000 - $75,000 and represents the firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications, and location. Discretionary bonuses may be awarded in recognition of individual and firm performance. Profit-sharing partnership contributions to 401(k) accounts may be given based on firm performance.
