Job Description
Are you a bright and enthusiastic individual who is passionate about coordinating events and seminars for our top-ranked faculty members about cutting-edge scientific research? WHAT YOU’LL DO:
As a Seminar and Conference Coordinator, you will be responsible for coordinating all in-house and external seminars. You will also play a key role as the event planner and coordinator for the La Jolla Immunology Conference (LJIC) a high-profile San Diego based conference. Your entrepreneurial spirit and "no task too big or too small" attitude will be crucial as you handle a variety of daily tasks and special projects to ensure the success of our seminars and conferences.
  • You'll handle all the logistical details like scheduling guests, arranging travel and accommodations, and coordinating speaker series.
  • You'll develop and implement event plans, from timelines to budgets to logistics, and coordinate every detail
  • After each event, you'll conduct post-event evaluations, gathering feedback and analyzing data to assess success and identify areas for improvement.
  • Your excellent customer service skills will shine as you keep faculty informed, address concerns promptly, and ensure a seamless experience for all attendees.
  • You'll also be assisting with event marketing efforts through various channels like social media, email, and print media.
  • On event day, you'll oversee setup, execution, and breakdown of the event.
  • Collaborate with top-ranked faculty members to ensure successful seminars and conferences
  • Your budget management expertise will come into play as you track expenses, complete check requests, expense reports, AmEx reconciliation and other administrative tasks.
WHAT YOU’LL NEED:
  • Your positive attitude and ability to work flexible hours, including evenings and weekends as required by event schedules, will make you a valuable asset to our team.
  • Proficiency in Google Suite, Microsoft Office suite, Zoom, and ability to quickly adapt to new software will be key in this role.
  • You'll also have the opportunity to travel locally to event locations, showcasing your commitment to ensuring successful event execution.
  • Your excellent communication and interpersonal skills will shine as you interact professionally with clients, vendors, and team members, both independently and as part of a dynamic team.
  • Your expertise in event planning and coordination, along with your organizational and time-management skills, will be put to good use as you manage events of varying sizes and complexities.
