Job Description
Some Other Responsibilities Include


Viejas Casino and Resort is looking for a Sales Coordinator. This person will enter rooming list for groups into the Property Management System (PMS) and Sales System. Provides sales reports and communicates daily, weekly, and monthly reports as requested. Assists clients regarding room reservation, facility tours, etc. as requested by the Sales Manager.


  • Manages billing and ensures payments are received.
  • Verifies completeness and accuracy of information.
  • Generates and distributes reports, paperwork and/or information for client groups in a timely manner.
  • Manages group blocks and cut-off dates.
  • Sets up and maintains client files and records.
  • Coordinates groups after booking, through arrival and after departure, including entering room lists for groups into Property Management System (PMS) and Sales System.


Solicits New Business


  • Answers questions or concerns that the clients may have regarding rooms, hotel rates, and services.
  • Assists with on-site and off-site tours of the hotel.
  • Prepares and distributes correspondence to clients and hotel staff, and maintains control log of events.


Guest Service


  • Responds to requests and resolves internal and external guests’ complaints in a timely manner or refers to the appropriate management team.
  • Provides guest service consistent with company’s standards and brand attributes.
  • Ensures groups arriving on property experience excellent guest service and follows up after group departs.


General Office and Special Projects


  • Interacts with internal/external guests and peer groups.
  • Maintains banquet event orders.
  • Coordinates with other departments on joint tasks as they relate to sales, particularly the Front Office and Catering departments.
  • Under direct supervision, has little or no role in decision making.
  • Attends brief staff meeting for update on ongoing hotel activities and promotions.
  • Failure to follow directions may cause delays in schedules and loss of assets/money.
  • Assists with room reservations as requested.


Required Skills


  • Guest service, sales, or administrative experience.
  • Able to learn Property Management System (PMS) and Sales System.
  • High school diploma or general education degree (GED) required.
  • Good verbal, written, and interpersonal communication skills.
  • Working knowledge of Microsoft Office, Word, PowerPoint, and Excel.
  • Ongoing guest service and hospitality skills.
  • 1 to 2 years of related experience and/or training.
  • Must be able to work a flexible schedule according to business needs, including evenings, weekends, and holidays.
  • Detail-oriented, organized, self-motivated, and values teamwork.
