Job Description
Performs highly complex records management work coordinating the classification, retention, disposition, and protection of
Department records for a district or division in accordance with state-mandated laws concerning document and records retention and disposition requirements. Work requires contact with Department staff, other state agencies, contractors, and the public. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:
Records Coordinator I:
  • Creates and/or maintains records tracking databases.
  • Logs, files, and cross-references correspondence; and verifies documents/records.
  • Scans documents for conversion to electronic imaging.
  • Assists in maintaining the district/division records file plan.
Records Coordinator II:
In addition to the duties listed above:
  • Communicates records and information management rules, policies, and procedures.
  • Performs other job responsibilities as assigned.
  • Maintains the district/division records file plan.
  • Researches and responds to requests for documentation and records.
Records Coordinator III:
In addition to the duties listed above:
  • Performs other job responsibilities as assigned.
  • Establishes and maintains the district/division records file plan.
Minimum Qualifications:
Experience:
Records Coordinator I: 1 year experience in administrative, general clerical, library, records management, or related experience.
Records Coordinator II:3 years experience in administrative, general clerical, library, records management, or related experience.
Records Coordinator III: 4 years experience in administrative, general clerical, library, records management, or related experience.
All Levels:
  • Education: Bachelor's Degree in related discipline. Relevant work experience may be substituted for degree on a year per year basis. Substitutions for Minimum Qualifications
  • Related graduate level education may be substituted for experience on a year per year basis.
  • Experience can be satisfied by fulltime or prorated part-time equivalent. Related graduate level education may be substituted for experience on a year per year basis.
Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.

Physical Requirements and Working Conditions:
  • Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

Position Information
TxDOT's San Antonio District is looking for a Records Coordinator I, II, or III to work out of our District Laboratory and join our Quality Management Team. Our team is responsible for ensuring that all testing performed in our state highways meet the requirements of our Quality Assurance Program.
We are looking for a proactive individual that has the ability to communicate effectively and be able to contact multiple entities in order to resolve daily issues. In addition, this individual must have the ability to request and revise submitted documents and store them in accordance with our records retention system.
Starting Yearly Salary:
Records Coordinator I (B14): $31,144.00 - $42,146.00
Records Coordinator II (B16): $34,918.00 - $47,275.00
Records Coordinator III (B18): $39,521.00 - $54,584.00
This position is for (1) Records Coordinator I, II, or III depending on business need and applicant's qualifications. TxDOT reserves the sole right in determining the level of position based on business needs and the applicants work experience, education, skill level and all other appropriate factors
