Diamanti is seeking a highly skilled and experienced Project Manager to work directly with our CEO and lead the execution of strategic initiatives and projects across the organization. As the Project Manager for the CEO, you will play a pivotal role in driving the company's vision, goals, and objectives by ensuring successful planning, coordination, and implementation of key projects. This position requires exceptional organizational skills, strong leadership capabilities, and the ability to manage complex projects in a dynamic and fast-paced environment.


Responsibilities:


  • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment.
  • Familiarity with LinkedIn and the ability to leverage its features for networking, research, and relationship-building purposes.
  • Organize and summarize meeting minutes in a clear and concise manner.
  • Prepare agenda and materials for QBRs and customer meetings, ensuring alignment with strategic objectives.
  • Develop a comprehensive project schedule document that outlines tasks, baseline, and resource allocation.
  • Ensure all necessary materials, presentations, and documents are prepared and readily available for the CEO's meetings.
  • Monitor workers' performance against the project schedule and provide feedback and guidance as needed.
  • Adaptability and willingness to learn new software and tools as needed for project management and communication purposes.
  • Utilize project management tools and software to create and maintain the project schedule.
  • Support the CEO in his day-to-day activities.
  • Gather and analyze relevant data to determine project tasks, dependencies, and resource requirements.
  • Proficient in using various Apple products and software for efficient collaboration and communication within the organization.
  • Document key discussion points, decisions made, and action items assigned, along with their respective owners from all meetings.
  • Regularly update the project schedule based on progress, changes, and evolving project requirements.
  • Assist in the preparation of reports, presentations, and other deliverables for the CEO as needed.
  • Assist the CEO/sales team in planning and scheduling worldwide visits to customers (QBR), partners, and prospects, schedule planning, coordinate tasks reporting, and assist the CEO’s visit.
  • Coordinate and schedule all meetings including Quarterly Business Reviews (QBR) and customer meetings in collaboration with the CEO.
  • Experience working with Salesforce or similar CRM software to manage customer information, track project-related activities, and generate reports.
  • Assist the CEO in making informed decisions by providing insights and recommendations based on schedule data analysis.
  • Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Proactively anticipate scheduling conflicts and provide recommendations for optimal time management.
  • Proficiency in Microsoft Office Suite, including PowerPoint and Excel, to create compelling presentations and effectively manage project data.
  • Manage the CEO’s schedule and coordinate all appointments, meetings, and events.
  • Follow up on action items, track their progress, and provide regular updates to the CEO and relevant stakeholders.
  • Share meeting minutes with participants promptly after each meeting to ensure alignment and accountability.


Qualifications & Experience:


  • Proven experience as a Project Manager or in a similar role, preferably working closely with top-level executives.
  • Excellent communication and interpersonal skills, including effectively communicating complex concepts to diverse audiences.
  • Bachelor’s degree.
  • Exceptional organizational and multitasking abilities, with meticulous attention to detail.
  • Strong understanding of project management methodologies, tools, and best practices.
  • 5+ years of consulting, strategy, and/or program/Project management experience.
  • Demonstrated ability to work under pressure, manage competing priorities, and meet deadlines.
  • Proficiency in project management software and tools.
  • Bachelor's degree in a relevant field; advanced degree or certification in project management is a plus.
