Job Description
Join our enthusiastic team as a Meetings & Events Project Coordinator in the heart of New York! We are a passionate group seeking an ambitious, dynamic, and entrepreneurial individual to be an integral part of our fully remote team. If you have 3-5 years of previous events/meetings experience and are excited about creating memorable experiences, then we want to hear from you!
At our company, we plan and execute a wide range of events, from National Meetings to Sales Meetings, Training Sessions, Conferences, Launches, and Incentive Trips. As the Project Coordinator, you will play a key role in the successful planning and implementation of these events.
Here's a Glimpse Of Your Exciting Responsibilities
Collaborate on developing event websites and registration strategies, ensuring a seamless participant experience.
Be the primary contact for participant inquiries, demonstrating your outstanding customer service skills and ability to manage a high email/call volume.
Explore various venues and destinations to find the perfect fit for our meetings and events.
Take charge of room block management, travel arrangements, ground transportation, and activity/tour coordination.
Prepare and manage essential reports to track event progress, including rooming lists, seating charts, meeting evaluations, and more.
Coordinate all meeting materials, from invitations and confirmations to name badges, signage, and post-program reporting.
Work closely with vendors to select unique gifts and program-related materials.
Collaborate with Project Managers to develop engaging mobile app content/materials.
Provide top-notch client interface, delivering effective and professional responses to client questions and requests.
Qualifications And Qualities We Value
Advanced knowledge of MS Office (Excel, PowerPoint, Word).
Thriving in a fast-paced environment, with excellent attention to detail and a proven ability to handle multiple tasks simultaneously.
Experience in data/email management, registration, and reporting.
Tech-savvy, with an aptitude for technology and software solutions.
Familiarity with Cvent is a plus.
Additional Requirements To Succeed In This Role
3-5 years of previous events/meetings experience, showcasing your expertise in the field.
Excellent interpersonal skills, allowing you to communicate effectively with individuals at all levels within and outside the organization.
A team player with a positive attitude, ready to collaborate and contribute to our supportive work environment.
The flexibility to work fully remotely and the ability to travel by airplane, boat, rail, and/or car when needed.
As the Meetings & Events Project Coordinator, you'll report directly to the Project Support Manager, working closely with a talented team to create extraordinary event experiences.
