Position Description
This position will be responsible for the pipeline of JCTC students wanting to transfer to UofL's selective programs and overall recruitment efforts. This position will serve as first point of contact for ULtra with internal and external customers. Take the lead in planning and implementing "front door" customer service to include communications and event programming. This role will report to the Associate Director, ULtra. Duties and expectations for this position are as follows:
Assertively conduct intake/onboarding of ULtra students; Effectively use all contact methods (email, phone, chat, mail) to communicate with ULtra students and take initiative to follow up with each student and provide excellent customer service up to matriculation to UofL; Leverage Slate to maintain constant contact with all ULtra students, providing them will any and all information needed to continue towards matriculation at UofL. Prepares students academically and financially for the transition to UofL; Acts as an agent of contact for additional assistance as necessary.
Essential Duties And Responsibilities
  • First point of contact for students and staff, supports academic advisors, assesses student service needs and refer to appropriate UofL or JCTC department.
  • Utilize CRM product (Slate) to promote program growth and streamline processes: terms of agreement (TOA), create events, replace outdated sign up forms, and manage communications plan including preparing monthly student newsletter. Prepare reports and research data from CRM to assist with program development. Maintain database of student information.
  • Perform fiscal, personnel, purchasing, statistical reporting and other office functions including reconciling pro-card and monthly RDS report.
  • Coordinate digital communications such as social media, website updates and newsletters.
  • Planning and implementing seminars, workshops and special events as well as developing outcomes and evaluate programs.
