Position Summary

The UNM Department of Psychiatry & Behavioral Sciences is seeking a Program Assistant 1 to support our Education Division. This individual must enjoy interacting with people, be great at organizing data and projects, skilled using and learning various software, thrive in a fast-paced environment, and appreciate being part of a friendly, hard-working team.
This position is heavily administrative and supports all aspects of the Psychiatry Fellowships. The program assistant will provide support for the program directors and assist education faculty and the Program Specialist in day-to-day operations as well as events.
Job duties include: entering and maintaining complex schedules and data using web-based programs; creating and managing seminar QR codes and attendance; tracking, managing and entering trainee and faculty evaluations; working with trainees and faculty in coordinating adjustments to individual rotations and schedules.
Our program assistant will compose and edit correspondence for dictation; prepare, transcribe, edit and distribute agendas and minutes for meetings; collect data and run reports; maintain files and distribute course materials. They will also record and report leave for trainees, manage funds, coordinate travel and process reimbursements, hold a UNM purchasing card, process reimbursements and order supplies. Will answer phones and respond to inquiries for the Education Division.
The assistant will play an integral role with all events including receptions and retreats. They will help with events including recruitment, orientation, graduation and didactics for learners-organizing and coordinating virtual interviews, setting up technology, gathering and tracking evaluation data and communicate/coordinate with applicants.

Position reports entirely on-site, HSC campus.

The Department of Psychiatry & Behavioral Sciences is a multi-division department within the UNM School of Medicine. The Education Division of the Department administers the training programs of Psychiatry Residents, Psychiatry Fellowships, Psychology Interns, Medical Students, and Psychology Post-Docs.

Conditions of Employment

Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.


Preferred Qualifications
  • Experience working with databases and multiple computer software applications.
  • Able to communicate professionally, inclusively and in a timely manner, both in writing and verbally.
  • Experience with and knowledge of UNM systems, software, policies and procedures
  • Excellent skills using Zoom, MS Outlook, Excel, Teams, and Smartsheet.
  • Ability to work independently and be supportive in a team environment.
  • Experience with or knowledge of medical education.
  • Confident and quick in learning new software systems.
  • Strong organizational skills and ability to prioritize multiple complex duties.
