Education and Experience : A High school diploma, GED or higher, and four (4) years experience in law enforcement record keeping, including two (2) years in a lead or supervisory capacity. Must pass stringent background investigation.


Licenses and Certificates : TCIC/NCIC certification required by time of appointment.


General Purpose


Under direction, supervise units responsible for police records maintenance.


Typical Duties


Manage workflow and organization to optimize performance of multiple records units. Involves: Oversee service provided to customers by records units to ensure quality control of technical services and customer service. Coordinate activities of related records units to minimize duplication of effort and enhance productivity. Direct processing and fulfillment of open records/public information requests and exchange of criminal information with other agencies. Provide advice or assistance to other department sections on records related issues. Provide first line response to customer complaints. Make recommendations for service improvements to records operations throughout the department and inform relevant departmental staff about changes in records laws. Ensure section compliance with National Crime information Center (NCIC) and Texas Crime Information Center (TCIC) database protocols. Perform final review of pseudonym and expunction corrections to crime records. Consult with the legal advisor in unusual or complex situations. Prepare statistical summaries of records units productivity to provide summary information to management personnel. Maintain records in compliance with records retention protocols. Monitor section supply inventory.


Supervise assigned employees. Involves: Assign, schedule, guide and monitor work. Detect and correct errors. Appraise employee performance and review subordinate appraisals. Provide for training and development and train assigned staff in information systems and records functions. Counsel, motivate and maintain harmony. Identify and resolve staff differences, conflicts and deficiencies. Interview applicants; recommend hiring, termination, discipline, merit pay or other employee status changes. Enforce personnel rules, regulations and work behavior standards firmly and impartially. Review/approve leave requests and schedule overtime. Maintain records of employee training.


Perform duties of supervisor or coworkers as necessary to ensure continuity of operations during absences. Advise supervisor in a timely manner of situations or issues that have or could lead to deviation from expected results, when funds are required from other sources, and recommend appropriate solutions or options.
