As a Police Records Clerk for the City, you will be performing professional record retention for the Records Division with an emphasis on the Public Information Act (PIA) activity. Work involves accurate processing of public information in accordance with the PIA, redacting, and submissions to the Office of the Attorney General.
Essential Duties And Responsibilities Include
  • Create and maintain department files, including paper files and automated records to ensure important department information is readily and accurately available.
  • Maintain courteous liaison relationships with the citizenry, government officials, and other entities regarding the person(s), or entity's, needs while addressing routine inquiries.
  • Provides administrative support to the department, such as greeting visitors, answering telephones, filing, typing, preparing technical police reports, maintaining and updating designated logs, and files, making copies, as well as fax information and correspondence.
  • Perform other related duties as assigned.
  • Responsible for gathering, and exporting in-car (DMAV) and Body Worn Camera (BWC) footage, locating documents, and photos, and redacting for open records requests. Utilize special computer software programs (Premiere, Photoshop, Audition, Acrobat, etc.).
  • Communicate with the supervisor on administrative matters within the department or community concerns.
  • Maintain confidentiality of information and records in compliance with CJIS guidelines.
  • Respond to public information requests under the Public Information Act, coordinate the retrieval of information, and address questions or concerns as necessary.
  • Assist in coordinating and maintaining a comprehensive records retention program under the guidance of the Records Supervisor and TSLAC.
  • Clean and otherwise perform routine maintenance of the Central Records area as needed, such as changing printer/toner cartridges, adding paper to copiers, and having vendors contacted for service as necessary
  • Prepare written documentation on an accurate and timely basis.
  • Coordinate and consult with department employees, City employees, City employees, and the City Attorney's Office on the requirements of the PIA and applicable State and City codes/laws.
  • Receive non-emergency contact both in person and by phone from the public; provide directions, information, or other assistance, as requested.
  • Serve as the departmental liaison regarding public information requests; clarifying requests and advising requestors of appropriate timelines and expected fees. Disseminating video requests to inter-agencies and courts.
  • Maintain a safe work environment.
Qualifications And Skill Requirements
Formal Education: High School diploma or equivalent.
Relatable Work Experience: One (1) year of office clerical work, video, audio, and photo editing, PDF redactions, records management, and PIA Processes.
Training, Licenses, and Certifications: Public Information Act and CJIS certification are a plus.
Preferred Qualifications: Experience working in a records environment or digital media management.
Benefits Overview
  • Military leave provides up to 15 days of paid leave per fiscal year for eligible employees.

  • 50% dependent health benefits premium contribution.
  • 10 wellness hours each fiscal year for eligible preventive and mental health services.
  • Up to 160 hours of paid parental leave to eligible employees following the birth of an employee's child or the placement of a child with an employee in connection with adoption, foster care, or other legal placement to care for and bond with the child.
  • Long-Term Disability is employer-paid and covers 60% of the employee's salary up to $7,500.
  • Retirement eligibility requires 5 years of service at age 60 or 20 years of service at any age.
  • Employees also have an additional retirement fund option to participate in a 457 plan.
  • Sick leave incentive pay- Employees are compensated in December each year for 25% of their unused sick leave accumulated during the preceding fiscal year.
