Planning And Research Assistant

• Manage library of design publications and research documents
• Perform general administrative support for the Chief Planning and Design Officer and the Senior Vice President of Research & Analytics. This includes proofing, printing and formatting deliverables, answering phones, calendar and contacts maintenance, scheduling meetings, coordinating inter-department affairs, and preparing expense reports.
• Provide support at events as needed, including property launches and corporate initiatives
• Liaise with planning and research teams to assist with document preparation, property research, and other tasks as needed
• Assist in the development of internal Research and Planning & Design department initiatives, including best practices, workflow, and database organization
• Organize executives’ public-facing initiatives such as social media, conferences, presentations and interviews
• Maintain and update distribution mailing lists and coordinate deliverable distribution
• Assist in new business initiatives, such as the preparation of presentations, proposals, and research on properties and potential clients

• Proficient in Microsoft Office, Word, Excel, PowerPoint and Outlook required
• Self-motivated, resourceful and accountable
• Strong working knowledge of Adobe Creative Suite (Photoshop, InDesign, Illustrator)
• Bachelor’s Degree preferred
• Ability to manage multiple assignments with shifting priorities
• Excellent written and verbal communication skills
• Interact effectively with all levels of the organization in a fast-paced, team-oriented workplace
• Ability to work efficiently and professionally in a demanding environment and be one step ahead
• Ability to wear many hats and willingness to take on any task, large or small
• Strong sense of protocol and discretion appropriate to assist top level executives
• Exceptional organizational skills and attention to detail
