Job Description

We are seeking a highly experienced and efficient Personal Chief of Staff to support a busy entrepreneur and CEO of a tech management company. This role requires exceptional organizational skills, discretion, proactive thinking, and the ability to handle multiple responsibilities in a fast-paced environment. The ideal candidate will have a minimum of 15 years of personal assistant experience and possess excellent networking management capabilities.


The Personal Chief of Staff will primarily manage the personal affairs of the CEO, ensuring smooth operations and stepping in as needed to handle various tasks. The client needs someone who can help build their team of support. Ideally we will bring on additional assistants for this Chief of Staff to eventually manage. This is a 24/7 role and requires the ability to travel last minute, be accessible to the CEO when needed, and dedicated to what the CEO is building.


  • Responsibilities:Personal Support: Provide comprehensive support to the CEO by managing their personal life and ensuring all personal matters are handled efficiently and confidentially.
  • Proactive Approach: Anticipate the needs of the CEO, identify potential issues, and take proactive steps to resolve them.
  • Delegation: Effectively delegate tasks and responsibilities to appropriate individuals or departments, ensuring efficient completion of assignments.
  • Discretion and Confidentiality: Maintain the utmost discretion and handle sensitive information with confidentiality.
  • Time Zone Management: Work across multiple time zones, coordinating schedules and appointments efficiently, with a focus on the East Coast.
  • Networking: Manage CEOs current network, making suggestions of whom they meet with and when. Establish and maintain a strong network of contacts on behalf of the CEO. Engage in professional networking opportunities and identify strategic connections for the CEO's personal and professional growth.
  • Home Procedures: Implement and manage effective procedures and systems within the CEO's homes, ensuring smooth operations and a high level of organization. Including a trip packing strategy.
  • Logistics Management: Oversee the CEO's complex schedule, including travel arrangements, appointments, and meetings. Coordinate and manage personal events and social engagements.
  • Crisis Management: Be prepared to step in and handle urgent matters in the absence of the CEO, providing timely decision-making and problem-solving.


Qualifications:

  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
  • Highly proficient in the use of technology and various software applications to streamline processes and enhance efficiency.
  • Strong networking and relationship-building skills, with a demonstrated ability to establish and maintain a wide range of professional contacts.
  • Willingness to live on the East Coast to accommodate the demands of working across multiple time zones.
  • Excellent communication skills, both written and verbal, with the ability to interact confidently with individuals at all levels.
  • Strong problem-solving abilities, with a proactive and solution-oriented mindset.
  • Proven ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience working across multiple time zones and managing complex schedules.
  • Minimum of 15 years of personal assistant experience, preferably supporting high-profile individuals or executives.
