Your mission at IntegriChain:

The mission of this role is to support the overall People & Culture operations for our US-based employees with a high degree of effectiveness. This role is a collaborative position that requires precise, process-driven work as well as the ability to respond to individual employee concerns and questions with appropriate care and approachability.

The Operations Specialist will play a primary role in providing an excellent employee experience throughout the employee lifecycle, including onboarding logistics and offboarding activities, as well as day-to-day responses to and triage of employee needs. This role will also be responsible for compliance to internal policies, employee data integrity, and generalist support for the HR breadth of work. This role will also be connected with our India-based People Operations team and will support alignment with our global team and functions.


What this role entails:

Operations

  • Collaborate with Talent Acquisition team members and affiliated P&C team members to ensure smooth and seamless transition from pre-hire to onboarding and new hire status
  • Assist with data entry related to payroll processing in collaboration with our Finance team
  • When involuntary exit, partner with Managers and HR Leaders to ensure proper documentation is met before exiting
  • Maintain workforce data in ADP HRIS system; follows data entry SOPs, audits entry details, and works with HR Leadership to implement new data fields, reporting, and tracking/update mechanisms as needed
  • Manage off-boarding process with employees and their direct managers including exit interviews, documentation, and system updates
    • When involuntary exit, partner with Managers and HR Leaders to ensure proper documentation is met before exiting
  • Manage and execute a wide range of People Operations processes throughout the employee lifecycle, including new hire entry/logistics, HRIS ecosystem management and data updates, employee leave management, basic employee relations, and off-boarding processes and system entry
  • Become knowledgeable and a subject matter expert within our ADP HRIS system and provide ad hoc/as requested information out of the system to internal managers and HR stakeholders; be responsible for management of data integrity, reporting, and HRIS environment updates


Employee Relations and Communications and Interactions

  • Triage employee relations cases, proactively identifies potential solutions to address employee issues and actions appropriately using guidelines; escalates to Sr. HRBPs and leadership where appropriate
  • Contract extension, off-boarding, onboarding contractors on an as needed basis.
  • Create positive experiences at every step of the employee journey, following and building thoughtful practices that engage employees
  • Provide employee relations support and guidance to all designated teams
    • Triage employee relations cases, proactively identifies potential solutions to address employee issues and actions appropriately using guidelines; escalates to Sr. HRBPs and leadership where appropriate
  • Create and manage outgoing employee communications on information that impacts employment or workplace updates, such as change letters for promotions/transfers and other informational communications such as all hand meeting content, office-specific updates, benefits, or event updates


General & Compliance:

  • Play a primary responder role to inbound inquiries to our HR email inbox; providing a quick and comprehensive response to incoming employee requests and needed

  • Ensure use of SOPs and alignment to processes and control systems to prevent issues and ensure compliance occurs with employment policies and procedures
  • Provide high-level employee-centric service while providing guidelines and education related to HR driven policies and procedures
  • May provide input to job aids, policy updates, or internal training documents in collaboration with HR Management and the Org & Talent Development team
  • Make recommendations for improvements or efficiency where possible; build consensus and collaborate with involved team members to ensure accuracy and requirements are met
  • Follow and/or establish efficient people operations processes and procedures internally to ensure proper handling of data, alignment to operations processes, and company policy
    • May provide input to job aids, policy updates, or internal training documents in collaboration with HR Management and the Org & Talent Development team
    • Make recommendations for improvements or efficiency where possible; build consensus and collaborate with involved team members to ensure accuracy and requirements are met
  • Provide compliance and audit support during cyclical points in the year; includes assisting with response to SOC audit and other business audits, as well as regular review of employee completion and compliance with required policy acknowledgements within our HRIS system (at the point of onboarding as well as our annual issuing/renewal of policies)

What you’ll bring to the table:

  • Experience in a corporate setting, preferably within the Life Sciences and/or Technology industries
  • Bachelor's Degree or equivalent experience; focus on Human Resources degree or certification and/or HR Certification preferred
  • Prior experience working for a fast growing, mid-sized company preferred; experience within an international organization that has both India and US-based locations a plus
  • Skilled in HR compliance with basic generalist knowledge of employment practices and local, state, and federal employment laws
  • 3 to 5 years of experience in Human Resources related role
  • Independent thinker with exceptional judgment on complex people issues
  • Experience with ADP Payroll and ADP Workforce Now systems a significant plus
