Job Description

The ideal candidate will be responsible for the collection and organization of documents and information. The candidate must be a team player, have a willingness to work for a fast-paced company and be willing to assist the team meet our objectives.


Description

  • Must successfully complete a comprehensive background check.
  • Bachelor’s Degree, Associate degree or certificate program in paralegal studies with experience.
  • Ability to provide thorough legal research in a variety of areas.
  • Knowledge of maintaining statutory filings and business licenses.
  • Organized, professional communications skills, proactive, problem-solving, time management, discretion and confidentiality.
  • Thorough knowledge of legal communication principles and practices.
  • A self-starter with excellent verbal and written skills.
  • Candidate must be a team player, have a willingness to work for a fast-paced company and be willing to assist the team meet our objectives.
  • Relevant computer knowledge and experience with a proficiency in Microsoft Office 365.
  • Must be a multitasker, with the ability to work on several requests simultaneously without losing focus.


Requirements

  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Responsibilities include managing calendars, making travel arrangements, and preparing expense reports.
  • Take minutes during meetings, screen and direct phone calls and distribute correspondence.
  • Provide regular updates regarding relevant local, state, and federal laws affecting company business.
  • This position has no overall supervisory responsibility and will be in office.
  • The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • Maintain corporate statutory filings, including business licenses.
  • Assists in the maintenance of the corporate structure, corporate governance and intellectual property filings and maintenance.
  • Assists in the preparation of legal documents such as service and supplier contracts, initial and amended articles of incorporation/organization, operating agreements, purchase and sale agreements, and annual reports for approval and use by the legal department.
  • Assists in the real estate and corporate acquisition closing processes.
  • Perform legal and records research and present results.
  • Teamwork- collaborating with others to improve overall standards of work and service.
  • Performs clerical duties such as scheduling appointments, providing information to callers, assisting with email correspondences, and task management.
  • Track daily expenses and prepare weekly, monthly or quarterly reports.
  • Assist with research, drafting documents, preparation of audits, assessment of statutory filings including business licenses.
  • Manage information flow in a timely and accurate manner.
  • Manage executives’ calendars, set up meetings, make travel and accommodation arrangements.


Summary

·Work experience as a Paralegal, Office Administrator or similar role.

·Excellent MS Office knowledge.

·Outstanding organizational and time management skills.

·Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
