Nolan & Associates is currently looking for a full-time Office and Operations Coordinator to be part of our team in St. Louis, MO. This role will be working on-site at our office in Brentwood, MO.

In your role as an Operations and Administrative Associate you will support three areas of our firm:


(1) Operations and Administrative Support


  • Provide administrative support involving highly confidential materials and timely/sensitive situations.
  • Help manage and maintain calendar of senior leadership team regarding coordinating office visits, off site meetings, travel, and conference calls.
  • Manage relationships with external partners, including IT vendor and phone provider; help to troubleshoot any issues or direct to appropriate support person at vendor.
  • Answer incoming phone calls and transfer as needed.
  • Ensure office supplies and refreshments are adequately stocked at optimal levels for in office work and meetings.
  • Greet and support visitors to our office.


(2) Finance Support


  • Maintain accounts payable, accounts receivable and expense reimbursement processes.
  • Help with facets of our compliance and licensing requirements.


(3) Marketing and Business Operations Support


  • Complete data entry and data research using our Customer Relationship Management (CRM) system.
  • This role will report to our President and Marketing Director.
  • Make minor updates to the website using our content management system.
  • Update and send contracts and non-disclosure agreements as needed.
  • Assist in the planning of internal and external meetings, lunches, dinners, and other events.
  • Update PowerPoint files using templates already created.
  • Proofread and edit documents, website pages, blogs, etc.


Qualifications:


  • Excellent verbal and written communication skills.
  • Highly organized, self-motivated team player that cultivates a positive work environment.
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • At least 2 years business/office experience.
  • Ability to maintain a high degree of confidentiality.
  • Proficiency with Microsoft Office Suite including Outlook, Word and PowerPoint.
  • Experience with CRM or database management systems a plus.
