We are seeking an Office Administrator to join our team. This is an opportunity for the right individual to put their strong administrative and organizational skills to use as a part of a hardworking, dynamic group. Our ideal candidate will be a self-starter who possesses strong interpersonal skills and has an enthusiastic attitude, along with an excellent work ethic. Reporting directly to the Director of Operations, the Office Administrator acts as a central resource within the office, providing support to the office staff, Accounting Department and Marketing Department.
Primary Responsibilities
  • Manages the booking system for desk reservations, shared resources, and meeting rooms
  • Schedules weekly vendor presentations for continuing education credits
  • Coordinates with the building facilities management to arrange for maintenance and other services as needed
  • Provides general office orientation to new hires
  • Provides administrative support for Accounting Department, Marketing Department and HR Department as required.
  • Monitors inventory and orders general office supplies and kitchen pantry stock
  • Answers and directs all incoming calls
  • Greets, announces, and directs all visitors to provide a professional corporate image while ensuring the reception area is secure and all visitors entering the premises are identified
  • Routes all incoming mail and courier deliveries and arranges for outgoing couriers to maximum cost efficiency and ensure the timely delivery of items
  • Organizes catering/coffee services as required for meetings and other events
  • Performs other administrative duties as required with may include typing, data entry, filing, and emailing
  • Provides onsite assistance for IT Department, in conjunction with local IT staff
  • Coordinates employee and visitors access through office and building security systems
  • Arranges for service requests for general office equipment
  • Assures the reception area is neat and orderly to provide a productive working environment
