The Role

We're seeking a detail-oriented, dynamic, and proactive Office Administrator to join our team at our New York Headquarters. The Office Administrator will be pivotal in maintaining the flow of daily operations and actively fostering an uplifting environment supporting the AC Team. The ideal candidate is self-motivated, trustworthy, can work with little supervision, and is excellent at organizing and prioritizing.


Responsibilities

  • Manage agendas, travel arrangements, and appointments.
  • Greeting and attending to visitors and guests.
  • Organize and manage office operations and procedures, including but not limited to: record keeping, supply management, and office aesthetics.
  • Plan and execute office events, meetings, and team-building activities that nourish our vibrant company culture.
  • Manage relationships with vendors, service providers, ensuring that all items are invoiced and paid on time.
  • Provide administrative support to team members as needed.
  • Serve as the primary contact for office duties including: maintenance, mailing, supplies, equipment, and errands.
  • Maintain office efficiency by promptly and courteously responding to team inquiries and requests.
  • Liaise w/ executives to aid in onboarding new hires, including setup of beautiful workstations and processing necessary paperwork.
  • Negotiate contracts and pricing with office vendors and service providers.


Requirements

  • Proficiency in MS Office Suite.
  • High attention to detail and problem-solving skills.
  • Minimum of 1 year in office management, administrative, or assistant experience.
  • Familiarity with office management systems and procedures.
  • Excellent written and verbal communication skills.
  • Exceptional time management skills and the ability to multi-task and prioritize work.
  • Thrive in a fast-paced start-up environment.
  • Bachelor's Degree or equivalent work experience.
