Job title: Meeting Coordinator
Offering: Full time position - Salary $50-60k plus benefits package
The ideal candidate will report directly to the Senior Strategic Meeting Manager. Training will be provided for all aspects of this position, as needed.
REQUIRED SKILLS
- EXTREMELY ORGANIZED (exceptional in excel and google suite)
- CREATIVITY (the ability to think outside the box)
- REMOTE WORK (ability to self motivate and stay focused)
- HOSPITALITY INDUSTRY EXPERIENCE (understanding of basic meeting coordination i.e. BEOs, printing and shipping processes)
- CUSTOMER SERVICE (high level customer service standards)
- TEAM PLAYER (fun, inspired individual, who is confident working within a high energy, high expectation team)
- TRAVEL (available for travel to programs, up to twice a month)
RESPONSIBILITIES - MEETING COORDINATOR
- Solicit bids from venues and service providers (for example, florists or photographers).
- Review event bills and ensure all vendors are paid on paid and correctly
- Represent canvas in all aspects of the hospitality industry.
- Manage event registration to include accommodation and travel requests, dietary restrictions and personal data collection
- Cross reference rooming lists, flight manifests and ground transportation records as needed
- Liaison with attendees on program details and general Q&A.
- Monitor event activities to ensure the client and event attendees are satisfied.
- Facilitate virtual event support by review the run of show and testing all technology
- Coordinate event services such as off-site dining, ground transportation and on-site activities.
- Collaborate with the lead Strategic Meeting Manager to ensure venues/meeting space meets the client's requirements based on agenda.
- Build out registration sites for client events using conditional logic
- Travel on-site to provide on-site support.
RESPONSIBILITIES - EXECUTIVE SUPPORT
- Social Media support to the entire Executive Team, including managing all canvas social media outlets.
- Additional projects as needed by the Executive Team.
- Back up venue sourcing support with hotels. To include following up with hotels, putting together availability grids and detailed proposals, etc.
- Minimal marketing duties such as holiday cards, projects, etc.
- Coordinate client gifting and appreciation.
- Data entry in the company’s CRM.
