Seeking full-time, experienced medical receptionist for a thriving dermatology practice. Must be friendly, dependable and knowledgeable of insurance. This job is under the direction of the Front Office Manager. The primary responsibility is to coordinate and facilitate patient flow, ensure completeness of medical information and input data. Position involves data entry for demographics, payment batch reconciliation. Operates phone system to make and confirm appointments, take messages and route incoming calls. This individual interacts with administration, billing and insurance staff regarding patient, payment, adjustments and charge issues. May perform other activities deemed necessary for a smooth and efficiently run medical office.
Essential Functions
- Check charts for correct arrangement of papers, inserts new patient forms, and places chart in sequence for physician examination or treatment.
- Collects any amounts due for prior balances, co-pays and deductibles.
- Closes office and activates security system at end of day.
- Schedules patient appointments for new and return visits, consultations and referrals in a manner that optimizes patient satisfaction and most effectively utilizes the physician’s time.
- Reviews encounter form charges to make certain coding reflects medical record documentation. Includes getting additional charge information from physicians when necessary to facilitate billing and data input.
- Opens office at beginning of day and prepares a daily schedule for each physician.
- Assists patients with insurance and billing questions or directs questions to the Financial Counselor if needed.
- At check-in patient charts are reviewed and insurance and demographic information updated. Copies of insurance cards are scanned. Patients are instructed on HIPAA and signatures are obtained.
- Prior to patient departure, patient is informed of any insurance coverage issues, provided with receipt of payment and follow-up appointments are made as required.
- Creates charts for new patients according to practice procedures.
- Processes and accurately posts payments according to company policy.
- Assists patients at front desk and/or at time of check out.
- Attends training sessions as required to keep abreast of changes in company policies and procedures.
- Answers telephones in a friendly, enthusiastic manner and taking message for appropriate personnel.
- Assists in medical records and with other data entry, telephone and projects as needed.
- Alerts Front Office Manager of any account issues or to add new insurance companies and referring physician.
- At check-out patient charts are reviewed to ensure information provided at check-in has been updated.
JOB QUALIFICATIONS:
- Ability to work independently and also as a team member.
- Two years prior experience in a medical office is preferred.
- Knowledge of billing practices and medical terminology desirable.
- High school graduate or equivalent.
- Personality and demeanor to deal with the public.
- Ability to communicate clearly and effectively.
- Working knowledge of computers and office equipment.
- Must have basic office skills such as computer data entry, filing, calculator and telephone experience.
- Requires sitting, standing, bending, use of a computer and physical ability to perform front office functions in an extremely busy environment.
- Good organizational skills, flexibility and quick response is a must.
