Job Description
We are looking for a Full-Time Front Desk Medical Receptionist for our busy, outpatient Physical Therapy Rehabilitation clinic in Fort Pierce!


As a Front Desk Medical Receptionist, you will be the first point of contact for our company. The responsibilities the Front Desk Receptionist include all front office functions including patient relations, appointment scheduling, telephone duties, patient registration, insurance verification, handling medical records, filing, and cashiering. Additionally, this position performs routine clerical and administrative functions such as drafting correspondences, organizing and maintaining paper and electronic files, and providing timely information to callers.


Ideal candidates are customer service focused and able to handle multiple tasks throughout the day! Multitasking and stress management skills are essential for this position. This role may require working occasionally in different offices, so flexibility is a plus. Ultimately, the Front Desk Medical Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.


Detailed Responsibilities


  • File and retrieve medical records/files.  
  • Make every effort to assure all patient's needs are met in a friendly and comforting manner. 
  • Schedule patients based on incoming referrals and authorizations (including workers compensation, LOPs, and auto accident patient). 
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Work at the reception desk, answer phones, greet and communicate with patients and providers.  
  • Perform daily closing batch/ balance merchant services to patient financial ledger. 
  • Conduct insurance verifications, patient demographics verifications, and process payor authorizations timely. 
  • Greet and welcome guests as soon as they arrive at the office
  • Track patient no show and cancellations. 
  • Answer telephones, take messages, and triage calls to appropriate individuals. 
  • Obtain and manage Authorizations and assist with tracking Plan of Cares. 
  • Ensure reminder calls have been made and appointments are confirmed. 
  • Complete tasks within the EHR as necessary. 
  • Check-in patients and properly scan registration forms into the EMR.  
  • Assist patients with re-scheduling appointments and other scheduling issues. 
  • Direct visitors to the appropriate person and office
  • Collect co-pays, deductibles, and past due balances from patients. 
  • Set-up and maintain paper and electronic filing systems for records, correspondence and other material. 
  • Make copies of correspondence and other printed material. 
  • Perform other duties as required.  
  • Create a culture of excellence for the team and deliver unmatched patient care. 
  • Schedule and confirm appointments for patients, customers, or supervisors, 
  • Complete forms in accordance with company procedures. 
  • Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheets, word processing, database management and other applications. 


Skills


  • Ability to be resourceful and proactive when issues arise
  • High school degree; additional certification in Office Management is a plus
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Solid written and verbal communication skills
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Excellent organizational skills
  • Proficiency in Microsoft Office Suite
  • Professional attitude and appearance
  • Customer service attitude
