MANAGER OF EVENTS
Los Angeles magazine
We are seeking a pro-active, forward-thinking Manager of Events to plan, produce and execute Los Angeles magazine’s signature portfolio of live events. This role will be integral with all aspects from start to finish of the planning and execution of our existing events including The Food Event, Whiskey Festivals, and Best New Restaurants Celebration along with the development of new meaningful and impactful events. Los Angeles magazine is part of Engine Vision Media which also includes Pasadena magazine, Orange Coast magazine and SoCal Design magazine. Portfolio will also include events under the above titles. This position reports to the COO of Events and Head of Experiential Marketing.
Responsibilities include:
STRATEGY
- Event Strategy: Oversee the creation and planning for each event (including company produced events as well as client related events) to create the event concept, execution, identity and shape revenue channels and pricing strategy, financial pro forma, ticket sales strategy, and manage event operations.
- Guest Experience: Oversee guest experience for sponsors, vendors, exhibitors and attendees.
- Portfolio of Events: Conduct short-term and long-term strategy for the overall portfolio of events designed to maximize annual revenues. Continually develop and research new event opportunities and partnerships.
OPERATIONS
- Vendors: Source, secure and manage execution and relationships with all vendors and event rental companies.
- Permits: Secure all necessary permits, licenses and insurance documents needed for each event.
- Timelines/Run-of-Show: Develop event timelines, production schedules, run of show and communicate internally and externally to all stakeholders.
- On-Site Branding: Incorporate magazine brand into all events.
- Venues: Plan, research, negotiate and secure venues that fit Los Angeles magazines event requirements based on the event scope, dates and financial considerations.
- Event Set-Up: Manage and execute on-site set-up and tear-down.
- Event Staffing: Responsible for the event staffing plan including securing, managing and training all on-site staff and volunteers prior to and during events.
- Layout/Floorplan: Develop and update layout/floorplans that create the best experience and event flow for attendees and clients.
- Exhibitors: Secure participation from restaurants, performers, entertainment, hosts and other activations needed for each event.
- Post Event Recaps/Debriefs: Update layouts, maps, manuals, etc. post event to reflect actual event experience and provide suggested areas of improvements for future events.
REVENUE STRATEGY/BUDGETS/SPONSORSHIPS
- Sponsorship Prospect Meetings:Support the sales team by attending sponsor pitch meetings and client presentations.
- Trade: Secure trade opportunities and manage on-going relationships along with trade fulfillment and tracking.
- Sponsorship Revenue Model: Work with Experiential Marketing Director and Director of Sales to design sponsorship packages and sales materials for each event with meaningful sponsor activations and ideas accomplishing the event revenue objectives.
- Pro-Forma: Develop the revenue/expense models with a financial pro forma that shows the path to success for each event.
- Sponsor Prospecting Targets:Identify potential list of sponsor categories and target companies for the sales team and maintain on-going tracker with prospecting status of each category/prospect.
- Brainstorm New Sponsorship Elements and Activations:Assist sales team with prospective clients that have specific goals/needs; provide creative custom package suggestions and solutions to incorporate the client within the event(s) that provides exceptional value and helps accomplish the objectives of the client. Research and stay up to date with event trends and popular activations.
- Budget/Expenses: Manage all expenses, work with accounting on timely payments.
TICKET SALES STRATEGY
- Ticket Pricing: Determine ticket pricing, packages and VIP experiences designed to maximize revenues.
- Ticketing Platforms: Secure and execute ticketing platform to sell, process and scan tickets. Manage on-going customer ticket questions and issues etc.
- Ticket Sales Reports: Provide internal on-going ticket sales reports with pacing metrics.
MARKETING / PUBLIC RELATIONS
- Public Relations: Work with team to generate publicity for each event, coordinate media opportunities, influencer programs and act as on-air presence for TV segments and radio interviews.
- Marketing: Develop overall marketing strategy designed to drive ticket sales.Secure promotional placements and partnerships along with trafficking of all materials.
- Website: Work with the digital team to create and refresh event websites designed to drive ticket sales.
- Social Media: Coordinate with editorial and digital team on social media initiatives and day of event coverage.
- Event Positioning and Messaging:Conceptualize the graphic positioning and messaging of each event working with our graphic designer.
QUALIFICATIONS, SKILLS AND REQUIREMENTS:
- Tech Savvy with strong computer skills including website, social media and presentation tools.
- Entrepreneurial spirit with forward-thinking and creative mindset.
- Must be willing to work evenings and weekends as needed based on event schedules
- Willing to roll up sleeves to accomplish what is needed.
- Extremely organized and detail-oriented
- Thrives in a multi-tasking environment with the ability to be flexible as needed.
- Exceptional client service skills and enjoys working with the public.
- Knowledge of Los Angeles area including event vendors and venue relationships a plus.
- Minimum 2-3 years event planning/management experience.
- Team player is essential.
