Nordson’s Legal team is looking for a savvy business partner to serve as our Legal Operations Administrator

Who are you? You are a roll up your sleeves problem solver with a passion for team support and project and time management. You will use your superior organization and project management skills to support our legal and executive teams, handling and prioritizing legal and administrative projects to maximize our efficiency. Your proactive planning, careful attention to detail, and aptitude for process improvement will level up our capabilities in our legal operations and administrative projects. You are highly skilled at scheduling, planning, coordinating, and tracking multiple concurrent projects – you make it look easy. To top it off, you’ve got advanced skills in Microsoft Office 365 applications like Word, Excel, and PowerPoint, and an aptitude and desire to quickly learn other critical technologies like Legal Tracker, SAP, Power BI, Forms, and Project Manager.
What you’ll do: Every day, you’ll work directly with our General Counsel and Legal Operations Manager on all kinds of projects – from challenging legal initiatives to more routine but important tasks. For about 70% of your time, you’ll be supporting various legal processes – many of which are or will be enabled through technology – so you need to enjoy collecting and curating data and be fearless about learning and using new technologies. For the other 30%, you’ll support certain executives and the General Counsel with their administrative needs so it would be ideal if you’ve supported C-suite executives or high functioning legal or business teams in the past.
Legal Operations Working with the Legal Operations Manager (LOM) and the General Counsel (GC), you will:
  • Serve as the System Coordinator for the Company’s eBilling software, Legal Tracker
  • Coordinate timekeeper approvals, process invoices, and help onboard and manage law firms and other legal vendors in Legal Tracker and SAP
  • Create dashboards and prepare reports using Legal Tracker, Excel, and Power BI
  • Assist with accrual and budgeting processes within Legal Tracker
  • Help respond to and resolve law firm and vendor inquiries, including managing the Legal.eBilling mailbox
  • Create quick reference guides and workflow and process flow charts to increase understanding and efficiency of legal processes and practices
  • Manage subscriptions for the legal department, including tracking them, assessing usage, and renewing contracts
  • Help the LOM to identify and implement tools/technology to streamline new or existing practices, and to manage rollout and training for new systems
  • Maintain and file vendor agreements and law firm engagement letters in appropriate matter files
  • Assist the LOM with budget matters and optimizing workflows within the legal department
  • Plan, prepare for, and coordinate department meetings and events
  • Maintain the intra-company Legal Portal and associated workspaces
  • Assist with various legal and ESG-related projects, data collection and curation, and report preparation
Executive Assistance Working with various members of our executive team, you will:
  • Monitor and maintain email accounts and calendars
  • Provide backup and support for other Executive Assistants or administrative colleagues as needed
  • Collect and curate expenses using Concur, prepare expense reports, and manage reimbursements
  • Manage departmental purchases on corporate credit card & reconcile monthly statement
  • Coordinate and manage domestic and international travel arrangements
  • Plan, coordinate, and schedule meetings and events both within the company and at external venues
  • Assist with special projects as requested
Your background and education: Legal operations professionals can come from many different backgrounds - legal, paralegal, business, administration, or IT/systems - and any one of them can work for this role. You’ll need a Bachelor’s degree in business, project management, or another relevant field. If you can combine that with a certification or hands on experience in project management, consulting, business analytics, paralegal or a similar field, it will be a huge plus. In terms of experience, to be best suited for this role, if you come from a project management, paralegal, consulting, legal operations, business analytics or similar background, you’ll have at least 3 years of solid project management and business analytics in a sophisticated corporate or professional services setting. If you come from an administrative background, you’ll have 5+ years of experience in executive administration and team support for a technology intensive, high performing executive, legal, or business team.
Knowledge, Skills & Abilities: Superb organizational, time management, technological, and interpersonal skills are critical in this role. As Nordson’s Legal Operations Administrator, you will work with executive leadership, legal team members, and colleagues at all levels in the organization to manage time-sensitive projects and deliver excellent results. In addition, you will be

Where you’ll work: We’re working hybrid and we’ll need you to, as well! We believe a hybrid working environment (one where you are able to be in the office 3 days per week) will lead to your greatest success in this role. We’ll be asking you to support our legal team and executives, manage cross-functional projects, and collaborate across the company. While portions of your work can be done remotely, you’ll fast-track your learning and rapidly deliver results by working alongside us when needed. While you are training, it will be especially important for you to be with us in person – we want to ensure that we introduce you to your colleagues and give you all the exposure and tools you’ll need to succeed. After your initial training period (about 3 months), we can work together to build an in-office schedule that works for all of us.
