Small law firm in Oceanside, seeking an energetic, happy, and self-motivated legal assistant with experience specifically in the areas of estate planning, probate and administering estates, and real estate.
Responsibilities
·Communicating with clients, vendors, attorneys, courts;
·Answering phones, scheduling client meetings, calendaring appointments, calendaring follow-ups and tasks, scheduling closings;
·Setting up legal files, ordering supplies, scanning documents, filing papers;
·Ordering title reports, communicating with title companies, obtaining realtor commission statements;
·Preparing or editing Contracts of Sale, correspondence, closing statements;
·Prepare and electronically file various legal documents including probate and administration pleadings, correspondence, memos and emails;
·Type up and file basic legal documents and correspondence;
·Utilize law office management software system (PC Law) for client files.
Qualifications
·Must have a great attitude, be able to work independently and with others, be flexible and have strong writing, communication and phone skills;
·Two (2) or more years of experience in the areas of estate planning, probate and administering estates, and real estate transactions;
·Be familiar with estate planning documents (i.e., Last Will and Testament, Power of Attorney, Health Care Proxy, Trusts, etc.);
·Be familiar with real estate transactions and processes;
·Computer skills and knowledge of Microsoft Word, Excel, and Outlook;
·General knowledge of law office management software (PCLaw experience a plus);
·Must be organized – if your organizational skills are not strong this is not the job for you;
·Problem-solving skills and ability to multi-task;
·Ability to manage time efficiently; work under pressure, and coordinate work flow.
