Job Description
Administrative Assistant – Communication Sciences and Disorders department


The Communication Sciences and Disorders (CSD) department at Iona University welcomes applicants for an Administrative Assistant. The individual will report to the Chairperson of the CSD Department. They will provide support and perform daily office operations for the CSD Department which also includes the Speech, Language and Hearing Clinic. The candidate will have excellent communication and interpersonal skills, and work collaboratively with colleagues and enhance student and client experiences.


Requirements


  • Computer proficiency with MS Office Suite, Windows, Microsoft Word, Excel, Power Point Excel, Blackboard
  • Demonstrates leadership, interpersonal, written and oral communication, problem solving, and presentation skills
  • Bachelor’s Degree
  • Minimum of 2 to 3 years of office experience


Duties And Responsibilities
  • Maintain confidentiality of faculty, staffing, and student information
  • Scheduling and managing work study students for the department and the Clinic
  • Assist with certification paperwork for graduate students
  • Work with Graduate program director to review applicants’ prerequisite coursework
  • Assist with graduate student recruitment and follow-up
  • Other duties as assigned.
  • Schedule large meetings for department regarding students, alumni or related event
  • Oversee operations including contacting vendors, Facilities, helpdesk, mailroom, opening and closing office, checking rooms for infectious control, checking voicemail and email to report to faculty any student cancellations
  • Demonstrate professional, courteous, respectful communication skills with the clients, staff and all members of the Iona University Community
  • Maintain paperwork for grant proposals, faculty development paperwork
  • Supervise work study student dedicated to social media
  • Manage and facilitate communications and alumni relations
  • Coordinate social media strategy to communicate updates, educational materials, and a strong and consistent social media presence to students, prospective students, interprofessional departments, alumni and other followers.
  • Work with Chairperson and/or faculty to create Speakers’ Center schedule and work with Speakers’ Center staff
  • Compile, organize and maintain a database of alumni contact information
  • Maintain a working knowledge of the overall mission and basic understanding of the work done by the department in order to support the programs in the department
  • Participate as an active member in the Department by: supporting staff and faculty at meetings, taking and distributing meeting Minutes, creating and maintaining necessary documents, create excel summary reports as directed by Chairperson
  • Work with Chairperson and/or faculty in event planning, marketing, and brochures for the department
  • Initiate alumni mentorship program
  • Manage and oversee front office needs for the CSD Department including but not limited to
