General Summary


Under minimal supervision assists with administrative and project work for the application teams. Includes supporting the application managers, mentoring team members, strategic and project planning, capacity management and resource planning. Leads documentation writing specifications, fact-finding, proposing solutions and/or recommendations.


Principal Responsibilities And Tasks


The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. These are not to be construed as an exhaustive list of all job duties performed by personnel so classified.


  • Assists with HR and operational day-to-day activities. May be responsible for direct reports and provide feedback for evaluations, identify areas of performance improvement, and conduct PIP/Memos.
  • Work with Informatics to identify enhancement/optimization priorities and make sure team is balanced appropriately.
  • Oversight of coordination of vendor initiated communications: Upgrade, Special Update and Patient Safety Escalation/Care Concern, Gold STAR, etc. activities. Monitor educational webinar sessions offered by the vendor and assign resources to attend sessions.
  • Resourcing the teams appropriately to address any capacity issues. Delegate research and analysis to appropriate team members. Represents assigned applications at project meetings. Participate in new project meetings to understand impact to our application teams, recognize risks, resource commitment and priorities and overlapping long-term project timelines with regards to capacity management.
  • Other Administrative Duties, i.e: participating in interview process, meeting scheduling, gathering data, maintaining list of certifications, shared communications, etc.
  • Responsible for and oversees day-to-day tracking and follow-up on issues and questions of daily operations. Validates testing results. Act as a point of escalation for team members.
  • Developing matrices and decision trees for assigning work so the team is balanced and has opportunities to learn. Ensure that we have shared knowledge and skillsets across the team.
  • Manage all ticketing queues for the assigned applications. Review unassigned tickets to make sure they are being addressed in a timely manner. Work with team members to prevent aging of tickets. (Need to develop a standard for aging tickets). Reassign tickets based on bandwidth (Must have knowledge of all teams’ tickets, ways to assign resources, etc.).
  • Responsible for facilitating and coordinating small to medium sized projects within the primary application itself (not necessarily owning a system wide project). Report on deliverables and manages internal resources to ensure they are meeting project timelines. Manages issues, provides guidance and support to project team members to achieve project outcomes.
  • Collaborates with management to determine commonalities/differences within the team members’ goals, values and problem-solving styles to get an understanding on how to generate multiple alternatives in leading group to achieve a result.
  • Oversee and coordinate written documentation of various types, specific to internal team processes. Provides assistance and recommendations with tools and processes. Ensuring that the application team build and operational standards and processes are developed, written with accuracy, followed by all teams: Change Control/Peer Review, Onboarding, etc.


Qualifications


Education and Experience


  • Seven years progressively responsible experience in information applications, including one year performing programming or applications analysis, or equivalent, such as business analysis, is required. Previous experience in leading or coordinating a project and/or team preferred.
  • Experience working in a healthcare environment is preferred.
  • Bachelor’s degree or equivalent experience in business administration or related field from which comparable knowledge and abilities have been acquired. Additional certifications may be required.

  • Demonstrate ability to think strategically. Demonstrate sufficient understanding of some functions to structure and manage project work. Generate innovative and practical solutions to complex or unusual problems.
  • Demonstrated ability to manage small-scale project teams.
  • Effective verbal and written communication skills are necessary to advise and consult with user personnel and make formal presentations of project findings and recommendations.
  • Makes recommendations regarding the integration/relationship between and among organizational applications.
  • Required Soft Skills: Strong Communication Skills, demonstrate effective teamwork, problem solving, adaptability, critical thinking, time management, and interpersonal.
  • Proficiency in the use of personal computers and related peripheral equipment is required. Familiarity with Microsoft Office products is required, i.e: SmartSheet, Visio, SharePoint, PowerPoint. Ability to adopt to new software quickly and with ease.
  • Big picture thinking, able to work well with others, conflict resolution skills, diplomatic skills, ability to use discretion with confidential information.
  • Act as lead resource for dealing with issues. Understands appropriate escalation process. Work with the team to make decisions considering the degree of impact on areas involved. Demonstrated ability to reach agreement and potential solutions through flexibility and compromise with peers, customer/client, and managers.
  • Excellent organization skills; demonstrates confidence and creativity.
